Lead management

One lead per person, ready for follow-up

The Leads page lists everyone your workspace captured, across all your events. A person who visits your booth at three events is one lead with all three events on it. You see the rep's Hot, Warm or Cold rating, set the follow-up stage, and set aside the junk.

What it does

One lead per person

Scaniam recognizes a person by their contact details and adds each new response to their existing lead. Event History lists every event they came to.

Ratings and stages

See the Hot, Warm or Cold rating your rep gave at the booth, and move each lead through New, Contacted, Qualified, Won or Lost as you follow up.

Folders, tags and notes

Keep real leads in Active and move the rest to Junk or Archived. Add your own tags and one note per lead to group and track them your way.

Why

Why it matters

After a busy event, the list is the hard part. The same person shows up at two events and becomes two rows. A badge scan and a real conversation look the same. The Leads page gives you one lead per person, with every event they came to on it, so you follow up with a person and not a pile of rows.

The rating your rep gave at the booth stays on the lead. You can filter for Hot leads, see which reps rated which leads on the Rep Performance view, and start follow-up with the people your team already judged a strong fit. Stages then track where each lead is, from New to Won or Lost.

Seniority, company grouping and target accounts show you who you really met. Scaniam reads each job title as a seniority level, groups leads by company on the Accounts tab, and flags the companies and job titles you care about. You can see which events brought the senior people and target companies you wanted.

Steps

How it works

01

Capture responses

Survey answers, registration sign-ups and Host Station entries all become leads. A Sales Station rating is added to the same lead.

02

Open the Leads page

Click Leads in the sidebar. The list builds on its own and updates as new responses arrive.

03

Work each lead

Filter by rating, seniority or event. Set the stage, add tags and a note, and move anyone who is not a real lead to Junk.

04

Export to your CRM

Click Export CSV to download every lead in the current view and import the file into any CRM that accepts CSV files.

Best for

  • Teams that run several events a year
  • Sales teams that follow up by rep rating
  • Marketers who track target accounts at events

Not the best fit

  • Teams that need an automatic sync with Salesforce or HubSpot (use the CSV export instead)
  • Importing leads from other sources (every lead comes from a Scaniam response)
FAQ

Frequently asked questions

How does Scaniam know two responses are the same person?

Scaniam recognizes a person by their contact details. When the same person fills your survey at another of your events, the response is added to their existing lead, which keeps its stage, folder, tags and note. If Scaniam joins two different people by mistake, click Not this person: split off on the wrong appearance, and it becomes its own lead.

Who decides whether a lead is Hot, Warm or Cold?

A sales rep picks the rating at the Sales Station when they scan the attendee's code. You can also set or change it yourself in the lead panel. If a person was rated more than once, the lead shows the highest rating.

Is the Leads page a premium feature?

No. The Leads page, ratings, stages, folders, tags, notes and target accounts are on every Scaniam plan, including Free. Plans differ by monthly responses. A lead whose every response is over your monthly limit shows as a locked lead until it is paid for: credits unlock any locked lead, and an upgrade unlocks this month's.

Can I send my leads to a CRM?

Scaniam does not sync with a CRM. Click Export CSV on the Leads page to download every lead in the current view, then import the file into any CRM that accepts CSV files.

What is the difference between Junk and Delete lead?

Move to Junk sets a lead aside. It leaves the main list and the counts but keeps its stage, tags and note, and you can restore it. Delete lead removes the person and their responses for good, for example when an attendee asks you to delete their data.
