Scaniam survey builder: question types, templates and survey settings

Updated Oct 22, 2026

The Scaniam survey builder is where you write the questions attendees answer on their phone before they get a gift code. You pick from 18 question types, start from one of the built-in templates or from scratch, and set a submit button label, a thank-you message, an optional response cap and an optional close date. The builder saves automatically and keeps an undo history while you edit.

What the Scaniam survey builder is and when to use it

The Scaniam survey builder is the screen where you write an event's survey: the questions an attendee answers on their own phone after scanning your QR code, before they get their gift code. Scaniam is gamified event lead capture and booth CRM for event marketers, and the survey is where every lead starts.

A typical booth survey asks for name, work email and company, then one to three qualifying questions such as interest, buying timeline or a demo request. Reps see the key answers when they scan the attendee at the Sales Station.

Each event has one survey. You open it from the event dashboard: click Event Settings, then Edit Survey. On a new, empty event, the next-step card also has a Build survey button. Back returns you to the event.

The rules

Rule Detail
One survey per event Each Scaniam event has one survey. With a registration page, that survey is split into a registration form and a booth form.
Question types 18 types: Single choice, Checkboxes, Image choice, Dropdown, Short answer, Long answer, Number, Rating, NPS (0-10), Scale, Email, Phone, Date, Time, Meeting, Statement, Hidden field, T&C consent.
Required by default New questions start Required. Statement, Hidden field and T&C consent start Optional. Statement and Hidden field have no Required setting.
Optional tag Attendees see an Optional tag next to optional questions.
One question per screen On the booth survey, attendees see one question per screen with a progress bar. Lead fields placed one after another share one screen. The registration page shows all its questions on one form.
Auto-advance On by default for new Single choice questions. The next question opens by itself after a tap. It never fires on the last question or on Other - specify.
Shuffle options Each attendee sees the options in a random order that stays the same while they fill the survey. "Other - specify" always shows last.
Other - specify Adds an extra option to Single choice, Checkboxes and Dropdown. Picking it opens a Please specify… box. On a Required question, the attendee must type something there.
Option names Once an option is saved, renaming it changes only its label. Earlier answers and conditions follow the new name.
Gift code Every attendee who submits gets a gift code and barcode. You cannot turn this off.
Autosave The builder saves shortly after you stop editing. There is no Save button. Opening the builder without changing anything saves nothing.
Undo history Undo and Redo cover questions, the intro and survey settings. Typing is grouped into one step. The history ends when you leave the builder.
No fixed limit The builder sets no fixed limit on how many questions or answer options a survey has.

Question types and when to use each

All Scaniam question types are in the Question type picker, which opens from the + between questions or from Add question.

Type What the attendee does Use it for
Single choice Picks one answer from a list Quick qualifying questions ("When do you plan to buy?")
Checkboxes Picks several answers "Which of these interest you?"
Image choice Picks a picture, or several with Allow multiple selections Product or design choices. Each option is an image link (Image URL (https://…)) plus an optional label. There is no image upload.
Dropdown Picks one answer from a menu Long lists such as country or industry
Short answer / Long answer Types one line or several Names, comments, feedback
Number Types a number Team size, budget, quantities
Rating Taps stars, hearts or thumbs (Symbol), Out of 2 to 10 Session or product ratings. Default: 5 stars.
NPS (0-10) Taps a number from 0 to 10 "How likely are you to recommend us?" Default captions: "Not likely" and "Very likely".
Scale Taps a number in a Range you set Any 1 to 5 style scale, with optional end captions
Email / Phone Types an email address or a phone number Contact details. Both check the format. Phone accepts international numbers.
Date / Time Picks a date or a time Follow-up date, arrival time
Meeting Books a time with someone on your team Demos and follow-up meetings (see below)
Statement Reads text, with an optional banner image link Instructions or a section break. Style Paragraph or With divider. Collects no answer.
Hidden field Nothing: it is not shown Tagging where a response came from, filled from the survey link (see below)
T&C consent Ticks a box Permission to contact. Starts with "I agree to be contacted about this event." and an optional link, shown as Read more ↗.

The Lead fields group at the top of the picker adds Name, Job title, Company, Email or Phone as ready-made questions that fill the lead's contact details. A lead field already in the survey is greyed out with a tick. See lead fields.

Hidden field. Enter a URL parameter name, such as booth, then add it to the booth survey link: ?booth=hall-2. Every response from that link stores hall-2. The registration page does not read Hidden fields.

T&C consent. If the text names a policy and has no link, the builder warns: "Add the link, or attendees can't read the policy this text names." Make it Required if attendees must agree to submit.

Editing questions

In the Scaniam survey builder, click a question card to edit it in place: a title (Type your question...) and an optional description (Add a description…). Drag a handle to reorder questions or options. In a choice question, press Enter for a new option, Backspace on an empty option to remove it, or click Add option. Deleting an option that a condition checks asks first ("Delete this answer?").

A selected card shows the Required / Optional pill and these controls:

  • More options (…) holds the settings for that type: Auto-advance (Single choice), Shuffle options (Single choice, Checkboxes, Dropdown, Image choice), Add "Other" option (Single choice, Checkboxes, Dropdown), Require work email (Email, off by default), Add validation (Short answer, Long answer, Number, Date) and Add condition. Validation and conditions are covered in conditional logic and validation.
  • Duplicate places a copy right below, with the same settings and conditions. The copy is not a lead field, because only one question can fill each lead field.
  • Delete removes the question. It asks first when other questions' conditions use it, or when it is a lead field (Keep it is the default answer).

Changing a question's type. Click the type chip. Scaniam keeps the title, description, Required setting, conditions, forms and Require work email. Options are kept between Single choice, Checkboxes, Image choice and Dropdown. Switching to a type without options asks first: "Switching type will remove this question's answer options."

Templates

Scaniam survey templates are ready-made question sets for common events. Each template includes lead fields, qualifying questions and a consent question, and you can edit every question afterwards. The templates today are Trade Show Lead Capture, Conference Session Feedback, Product Demo Interest, B2B Lead Qualification and Community Event Check-In.

You can use a template in three places:

  1. When you create an event: Events, Create event, then From a template.
  2. In Library, then Surveys: Preview a template, star it to shortlist it, or click Use in Event to start a new event with it.
  3. In the survey builder, when the survey has no questions at all: pick a card under Start from a template, or click Start from scratch.

In the builder, a template only adds questions. The header shows "Template added. Edit any question, or press Undo." and Undo removes it again. Template questions go on both the registration form and the booth form.

Meeting booking question

A Scaniam Meeting question lets an attendee book a meeting with someone on your team from the survey. A new Meeting question starts in team scheduling: it offers only the times when a ticked team member is free, inside their own hours, and a booked time is not offered again.

On the question you choose Who takes the meetings, How they are assigned (First available person or Attendee picks a person), Where (In person or Online), the Length, the Buffer after each meeting, the Booking window and the Notice. New Meeting questions start with your event dates, 30-minute meetings, a 10-minute buffer, 30 minutes notice and every team member who has hours ticked.

People, their hours and time zones are set in the event's Team window: click Manage team on the question. If the event has no team yet, click Add myself.

After submitting, the attendee gets a meeting card with Add to calendar. Bookings show in the Meetings card on the event page. Scaniam sends no email or invite. Every rule, what attendees see and what happens when a time is taken are in meeting booking.

Meeting questions made before team scheduling show as Shared time slots (older setup) and keep working as before.

Deleting a Meeting question, or changing its type, cancels the meetings booked through it. If anyone booked, the builder asks first and says how many.

Survey settings and the intro screen

Click Settings in the Scaniam survey builder header to open Survey Settings. The button turns brand-colored when any of these is set. Click Done to close the window.

Setting What it does
Submit button label Replaces the last button's text on the booth survey. Default: Submit, or Submit & Play Game when a booth game follows the survey. An attendee editing their answers sees Update. The registration page's button is set in the page editor instead.
Custom thank-you message Replaces the default instruction on the barcode screen ("Show this barcode at the booth to get your gift.").
Response cap Stops new responses once the event has this many. It counts submitted responses, including those in Junk. Test responses and game plays with no survey sent do not count. With a registration page on, registrations count too.
Close survey on A date and time after which new responses stop. It closes at that time in the time zone shown under the field.

Clear removes a cap or a close date. The response cap is separate from your plan's monthly limit, which never stops collection: see plans and limits.

The Survey intro - optional cover screen card at the top of the booth form adds a title and a welcome text shown before the first question. Returning attendees skip it. The registration form has no intro card.

Registration form and booth form

When a Scaniam event has a registration page, its one survey is split into two forms. The survey builder then shows two tabs, Registration form and Booth form, each with its question count. The tabs show whether the page is live, off or still a draft. While the page is off, the Registration form tab says "Your registration page is off, so nobody sees this form yet."

The registration page uses the Registration form questions. The booth QR survey and the Host Station use the Booth form questions.

A question you add on a tab goes on that form only. To put it on both, turn on the switch on its card: Also on Booth form or Also on Registration form. Deleting a question that is on both forms, from one tab, removes it from that form only. Without a live registration page, a question that is on the registration form only is tagged "Registration form only - not shown", with Show on booth form to move it.

Because both forms belong to one survey, a person who registers and then scans your booth QR code keeps the same gift code. You build the page itself in the page editor.

What happens if...

If ... Then ...
The response cap is reached New visitors see Survey closed: "This survey is not taking new responses." Attendees who already submitted still open their gift code. The cap count on the event dashboard (Cap N/M) changes to Limit reached.
The close date passes New visitors see Survey closed: "This survey is no longer taking responses." Attendees who already submitted still open their gift code.
A save fails The badge shows Not saved with Retry. Leaving the builder asks "Leave without saving?" first.
Someone else saves the same survey while you have it open Your tab shows Changed in another tab with Reload and saves nothing more. Reload, then make your change again.
You delete a question by mistake Click Undo (Cmd/Ctrl+Z). The question comes back with its conditions.
You rename an option after people answered Earlier answers and conditions follow the new name.
Two attendees pick the same last free meeting time at the same moment The first one gets the meeting. The second one's answers are saved, and they are asked to pick another time. See meeting booking.
The survey has questions, but none on the Booth form The builder warns: "The booth QR survey has no questions. Add one to the Booth form."
You test the survey in Preview Your answers are a test response. They count toward no limit or cap, and Clear test data on the event dashboard removes them.

How to build a survey

  1. Open your event from Events.
  2. Click Event Settings, then Edit Survey.
  3. On an empty survey, pick a card under Start from a template, or click Start from scratch.
  4. To add a question, click the + between two questions, or Add question at the bottom, and pick a type under Question type. Pick from Lead fields for name, job title, company, email and phone.
  5. Type the question and its options. Set Required or Optional, and open More options (…) for type settings.
  6. Click Settings to set the Submit button label, Custom thank-you message, Response cap or Close survey on, then click Done.
  7. Click Preview to see the survey in a phone frame (the registration page, on the Registration form tab while the page is on). Open in new tab shows it full size.
  8. Check that the header badge says All changes saved, then click Back.

Preview works before the event is live. To share the survey with attendees, the event must be live: see sharing your event.

The survey builder, every question type, templates and survey settings are on every Scaniam plan, including Free. Plans differ by monthly responses: see pricing.

Common questions

Can I add my own qualification questions?

Yes. Every Scaniam survey is yours to write. Add choice questions such as "When do you plan to buy?" or "Which product interests you?", and rating, scale or NPS questions. Reps see the key answers when they scan the attendee's gift code at the Sales Station.

How many questions can a Scaniam survey have?

The builder sets no fixed limit on questions or answer options. On the booth survey, attendees see one question per screen, so every question adds a screen. Lead fields placed one after another share one screen.

Can attendees book a meeting from the survey?

Yes. Add a Meeting question and tick the team members who take meetings. Attendees see only the times when one of those people is free, book one, and get a meeting card with Add to calendar. Bookings show in the Meetings card on the event page. Scaniam sends no email or invite. See Scaniam meeting booking for every rule.
