Scaniam plans differ by how many responses your workspace can collect each billing month. Every feature except the AI event report is on every plan, including the Free plan. Over your monthly response limit, Scaniam keeps collecting, but the extra responses are saved and locked until you pay for them with credits or an upgrade.
What Scaniam plans are
Scaniam is gamified event lead capture and booth CRM for event marketers. Every workspace starts on the Free plan. You can subscribe to Starter and Premium in the app.
Scaniam plans meter one thing: the number of responses your workspace collects in a billing month. Features are not split by plan, with one exception. Every plan, including Free, has:
- the survey builder and every booth game;
- the Gift Station, the Sales Station and the Host Station;
- the Leads page across all your events, and the target accounts list;
- custom branding, QR codes and short links;
- the event dashboard and CSV export.
The exception is the AI event report, which needs Premium or above. Credits also cost less per response on higher plans.
Each plan's price and monthly response limit are on the pricing page. Prices show in US dollars or Indian rupees. Free needs no credit card and has no end date. Paid plans renew every month.
The rules
| Rule | Detail |
|---|---|
| What counts | Each new response to one of your events counts once, in the billing month it arrives. Registrations from a registration page and responses entered at the Host Station count too. |
| Game before the survey | The response counts when the attendee submits the survey, not when they start the game. A game started and never followed by a survey does not count. |
| What does not count again | An attendee editing their answers later. A returning attendee that Scaniam recognizes, who keeps their first response. A registrant who later fills the booth form: it is the same response. |
| What is never counted | Redeeming a gift code. Rating a lead at the Sales Station. The example responses Scaniam adds to the Sample Event (new responses to it count like any other). Test responses from Preview in the survey builder or the Test Survey link on the event dashboard. |
| Test responses | A response is a test only when you open Preview or Test Survey in a browser where you are signed in as the workspace admin, within 30 minutes of opening it. After 30 minutes the page says Test link expired and new responses are real. A test link you forward to someone else makes real responses. Being signed in alone does not make a response a test. |
| Restoring or clearing tests | The event dashboard shows your test responses with Restore as real and Clear test data. Restore as real makes them count this month like new responses, and they are locked if you are over the limit. Clear test data deletes them. |
| Not limited | No plan limits the number of events, sales reps, game plays or gift redemptions. Only responses are metered. |
| Billing month | The billing month starts on the same day each month: the day your most recent paid plan started, or the 1st if the workspace never had a paid plan. It stays on that day after a move back to Free. |
| Reset date | The sidebar shows Resets and the date. The day changes at midnight UTC. If your plan started on the 29th, 30th or 31st, in a shorter month the count resets on that month's last day. |
| At the limit | Scaniam never stops collecting at the monthly response limit. Attendees still fill the survey, play the game and get their gift code. |
| Over the limit | A response that arrives after this month's included responses and your credits are used up is saved but locked. |
| Locked responses | A locked response stays locked, also in later months, until it is paid for. It does not unlock when the month resets. |
| What unlocks them | Credits unlock any locked response, from any month, oldest first. Upgrading unlocks this month's locked responses only. Responses in Junk or Archived unlock last. |
| What you paid for | Every response included in a month or covered by credits stays visible for good, also after a move to a lower plan or to Free. |
| Credits | 1 credit = 1 response beyond your monthly response limit. Credits are used only after the month's included responses. Unused credits carry over. |
| Credit expiry | Credits you buy never expire. Credits from a coupon can have a use-by date. Scaniam uses the credits that expire soonest first and bought credits last. Credits already used are never taken back when they expire. |
| Deleting responses | Deleting a response does not give back responses used this month or credits. Moving a response to Junk or Archived does not give it back either. Deleting a locked response neither uses a credit nor frees room. |
| AI event report | Needs Premium or above. Every other feature on this page works the same on every plan. |
What happens if...
| If... | Then... |
|---|---|
| your workspace goes over its monthly response limit | Scaniam keeps collecting and locks the extra responses. On the event dashboard, a locked response shows a lock and "Attendee" instead of the name. Its contact details and gift code show as dots. |
| you export while some responses are locked | The event CSV export leaves out locked responses. On the Leads page, a lead whose every response is locked shows as Locked lead and is left out of the leads CSV. |
| a lead has some paid and some locked responses | The Leads page shows the lead with contact details from a paid response. The locked appearances show without their details. |
| you buy credits or redeem a coupon while responses are locked | Scaniam unlocks them right away, oldest first, as far as the credits go. A locked response from an earlier month uses one credit when it unlocks. |
| you upgrade while responses are locked | The higher limit unlocks this billing month's locked responses right away. Locked responses from earlier months need credits. |
| you subscribe or upgrade in the middle of a month | The new plan starts when its payment goes through, and your billing month restarts that day. The new plan's responses also cover responses locked earlier in the cut-short month. |
| you close the checkout without paying | Nothing changes. Your current plan stays. |
| you cancel your subscription | You keep the plan until the end of the paid month. Plan & Billing shows "Canceled - access until" and a date. Then the workspace moves to Free. The current month is not refunded. |
| you change your mind after canceling | A canceled plan cannot be resumed. When it ends, subscribe again from Plan & Billing. Before then, you can subscribe to a higher plan. |
| a renewal payment fails | Razorpay retries the payment. Plan & Billing shows Payment retrying. Your plan stays active during the retries. To keep the plan, pay from the Razorpay email or click Contact support on Plan & Billing. |
| every retry fails | Plan & Billing shows Paused and the date the plan ends. The plan stays for 7 days after the end of the paid month or the failure, whichever is later. Then the workspace moves to Free. To keep the plan, pay from the Razorpay email or click Contact support on Plan & Billing. |
| your workspace moves to Free | No events, responses, leads or credits are deleted. The monthly response limit and the credit price change, and the AI event report needs Premium again. Responses collected earlier this month count toward the Free limit. |
| Scaniam granted your workspace a paid plan | Plan & Billing shows "Granted by Scaniam", with the end date if there is one. The sidebar shows Granted until and the date. After the end date the workspace moves to Free. |
| a coupon cannot be used | Plan & Billing says why, for example "That coupon code is not valid.", "That coupon has already been used." or "This coupon has expired." |
What Scaniam plans are not
- Scaniam plans are not feature tiers. Every feature except the AI event report is on the Free plan.
- Scaniam does not charge per sales rep, per event, per scan or per lead. One person who fills your survey at three events uses three responses and is one lead.
- Reaching the monthly response limit does not lose responses or turn attendees away. The extra responses are kept and locked.
- The monthly response limit is not the survey's Response cap. The response cap is an optional survey setting that closes one survey after a set number of responses.
- To compare Scaniam with renting the show's lead retrieval scanner, see the comparison pages.

Common questions
Is Scaniam free to use?
Yes. Scaniam has a Free plan with no credit card and no end date. It includes every feature except the AI event report. It includes fewer responses each month than the paid plans. See the pricing page for the numbers.
Does Scaniam charge per rep, per event or per lead?
No. Scaniam meters one thing, responses. No plan limits the number of events or sales reps. Gift redemptions, game plays and Sales Station ratings are not counted separately.
What happens when I reach my monthly response limit?
Scaniam keeps collecting. Attendees still fill the survey, play the game and get their gift code. Responses over the limit are saved but locked. Credits unlock any locked response. Upgrading unlocks this month's.
Do credits expire?
Credits you buy never expire. Credits from a coupon can have a use-by date, which the Plan & Billing page shows. Scaniam uses the credits that expire soonest first and bought credits last.
What happens to my data if I cancel?
Nothing is deleted. You keep the plan until the end of the paid month, then the workspace moves to the Free plan. Every response you paid for stays visible and exportable.
