In Scaniam, an attendee scans your QR code, answers your survey in their phone's browser and gets a gift code (usually 5 digits) with a barcode. There is no app, no account and no login. Each gift code can be redeemed once, and a returning attendee Scaniam recognizes gets their existing gift code back, not a new one.
What it is and when to use it
The Scaniam attendee experience is everything a booth visitor sees on their own phone: the QR scan, your survey, an optional booth game, and a gift code with a barcode. Scaniam is gamified event lead capture and booth CRM for event marketers. The attendee survey is where each lead starts.
You use it at any booth where you want contact details and answers in exchange for a gift. The attendee scans your QR code with the phone camera. The survey opens in the phone's web browser, with your workspace logo, colors, font and button style. There is no app to install, no account and no login.
When the attendee taps Submit, Scaniam shows a gift code and a barcode. The attendee shows the barcode at your booth. A volunteer at the Gift Station, or a sales rep at the Sales Station, scans it and hands over the gift.
The gift is a physical item your staff hand over. If you add a booth game, it can come before or after the survey. A game prize can also be a digital voucher code.
The rules
| Topic | Rule |
|---|---|
| Opening the survey | Scaniam opens the survey in the phone's web browser from your QR code. The survey needs a connection to open. |
| Which questions show | The QR survey shows questions on the Booth form and on both forms. Questions on the Registration form only are not on the QR survey. |
| Intro screen | If you write a survey intro, the attendee first sees a cover screen with a Start Survey button (Start when the game comes first). Scaniam skips it for an attendee who already started or submitted on that phone. |
| One question per screen | Scaniam shows one question per screen with a progress bar. Lead-field questions in a row show together on one screen. Continue and Back move between screens. |
| Checking answers | Continue and Submit are never grayed out. A missing or wrong answer shows "Please check the highlighted fields to continue." and scrolls to the field. |
| Hidden questions | Scaniam saves only answers to questions the attendee can see when they send the survey. On an edit, an answer saved earlier stays. |
| Phone numbers | The phone field picks a country from the phone's language and region settings, or the United States if none is set. The attendee can change it. Scaniam checks the length for that country and saves the number with its country code. When the connection is slow, the field still works with a basic check. |
| Last button | The last button reads Submit, Submit & Play Game when the game comes after the survey, or your own Submit button label. |
| Gift code | Every attendee who sends the survey gets a gift code. It is usually 5 digits, unique within the event, and can be redeemed once. |
| Barcode screen | Scaniam shows the gift code as a large number and a barcode, with Copy gift code and "Screenshot this screen to keep your code handy." |
| Returning attendee | A returning attendee Scaniam recognizes gets their existing gift code back, not a new one. |
| Editing | The attendee edits on the same phone and browser with Edit answers, while the survey is open and before the gift is handed over. The gift code stays the same. |
| Closing | The survey closes to new attendees when the event is not live, when the response cap is reached, or after the close date. People who already submitted still see their code. |
| Bad WiFi | Scaniam keeps answers on the phone as the attendee types, and sends them when the connection returns while the page is open. |
| Language | Scaniam's own buttons and messages are in English. Your questions show in the language you write them. |
What the barcode screen says. With no prize, the attendee sees "You're all done!" and "Show this barcode at the booth to get your gift." Your Custom thank-you message replaces that line. With a prize, the screen shows "You won!", confetti, the prize name and description. A consolation prize, or a prize set not to count as a win (such as a "Try again" slice), shows the plain "You're all done!" screen. A voucher prize adds a Your voucher code card with Copy code and, if you set a link, Open redemption link. The gift code and barcode still show below it.
The game and the survey. With the game After survey, the attendee plays right after tapping Submit & Play Game, then sees the barcode screen. With the game Before survey, a winner sees "You won: [prize]! Fill in your details to claim." over the survey, and gets the gift code after Submit. A returning attendee who already played sees the prize from that play and does not play again.
The response cap. The response cap counts submitted responses, including those in Junk. Test responses and game plays with no survey sent do not count. Registrations from your registration page count toward the cap. In a rush, a few extra responses can arrive just after the cap.
What happens if...
| If ... | Then ... |
|---|---|
| The attendee loses signal while answering | Scaniam shows "No connection - your answers are saved on this phone." The attendee can keep answering. |
| Sending is slow | The button changes to Still trying… with "Weak signal - still sending your answers. Hang tight…". |
| Sending fails because of the network | Scaniam shows "No signal right now. Your answers are saved on this phone - we'll submit automatically when the connection returns." with Try now. The survey sends itself when the signal returns, while the page is open. A retry never creates a second gift code. |
| The attendee closes the page before tapping Submit | The answers stay on the phone. Opening the same link on the same phone brings back the answers and the screen they were on. Nothing reaches you until they submit. If the browser blocks site storage, as some private modes do, the answers are not kept, but the survey still works. |
| The attendee opens the survey link again after submitting, on the same phone | Scaniam shows their gift code screen, with Edit answers while the survey is open. If they never played the game, Scaniam offers the game once first. |
| The gift was already handed over | The attendee sees Gift Already Collected - "Your gift has already been claimed. Please ask at the booth if you have questions." If they won a prize, the prize and any voucher code still show. |
| The phone no longer remembers the attendee | Scaniam starts the survey fresh, as for a new visitor. The attendee is never locked out. |
| A second person opens the link on a phone that already submitted | Scaniam shows the gift code already sent from that phone, with Edit answers. Each attendee should use their own phone. For a shared tablet at the booth, use the Host Station instead. |
| The close date passes while an attendee has the survey open | Scaniam refuses the new response with "This survey is closed and is no longer accepting new responses." |
| The response cap is reached while an attendee has the survey open | Scaniam refuses the new response with "This survey has reached its response limit and is no longer accepting new responses." |
| You set the event to not live | New attendees see Survey closed - "This survey is not open right now." People who already submitted still see their code. Your stations keep redeeming gifts. |
| The attendee registered on your registration page, then scans the booth QR code on the same phone | Scaniam opens the booth survey pre-filled with their registration answers. |
| The survey has no questions on the Booth form | The QR survey shows Survey Not Ready - "The event organizer hasn't published the survey questions yet." |
| Your workspace is over its monthly limit | The attendee still gets a gift code. Scaniam saves the response and locks it in your dashboard until you add credits, or upgrade (which unlocks this month's responses). See plans and limits. |
| The game comes first and the attendee plays but never sends the survey | The play does not count toward your monthly limit or the response cap, and it is not a lead. If they come back on the same phone, their typed answers are still there. |
What it is not
- The attendee survey is not an app. Attendees use the phone's web browser and need no account.
- The gift is not a digital voucher by default. It is a physical item your staff hand over. A digital voucher code is a booth game prize you set up with your own list of codes.
- Scaniam does not scan event badges. The attendee scans your QR code with their own phone.
- Scaniam does not show a different offer, message or question set to returning visitors. Everyone gets the same survey and the same gift code rules.
Closed surveys
A Scaniam survey closes to new attendees in three ways. Each one shows the same Survey closed screen with a different line, followed by "Thank you for your interest."
| Reason | Line the new attendee sees |
|---|---|
| The event is not live (paused or not started) | "This survey is not open right now." |
| The response cap is reached | "This survey is not taking new responses." |
| The close date has passed | "This survey is no longer taking responses." |
You set the close date in Close survey on. Scaniam reads that time in your time zone, shown under the field as "Closes at this time in [zone]." The time is the same for every attendee, wherever they are. Scaniam never closes an event on its own.
In every closed state, an attendee who already submitted on that phone still opens to their gift code. They cannot edit answers or start the game while the survey is closed.
How it works for the attendee
- The attendee scans your QR code with the phone camera. The survey opens in the browser.
- If you wrote an intro, they tap Start Survey (or Start when the game comes first).
- With the game Before survey, they play first, then tap Continue to Survey.
- They answer one screen at a time and tap Continue.
- On the last screen they tap Submit (or Submit & Play Game).
- With the game After survey, they play the game.
- They see their gift code and barcode, and show the barcode at your booth.
- Staff scan the barcode at the Gift Station or the Sales Station and hand over the gift.
To change an answer later, the attendee opens the same survey link on the same phone, taps Edit answers, taps Continue through the screens and taps Update on the last one. Scaniam keeps the same gift code and does not replay the game. An edit adds or replaces answers. It never clears a name, email or other contact detail given before, and it does not count as a new response.
How to set it up
The survey belongs to an event. These settings live in the survey builder.
- Open your event and click Event Settings, then Edit Survey.
- Optional: fill in Survey intro - optional cover screen with a title and a welcome message.
- Add your questions. Ask for a name, a work email and the company, plus one or two questions that show how interested the person is.
- Click Settings in the builder header.
- Optional: set Submit button label, Custom thank-you message, Response cap and Close survey on.
- To add a game, open your event, click Event Settings, then Game Setup, and choose Before survey or After survey.
- Go back to your event and click Test Survey to try it as an attendee. A test response does not count toward your monthly limit, and the link works before the event is live while you are signed in as the workspace admin.
- On your event, click the Not live status next to the event name to set the event live.
- Share your QR code. See sharing your event.
Which plans
The attendee survey, gift codes and barcodes are on every Scaniam plan. Plans differ by monthly responses: see pricing.
Common questions
Do attendees need to install an app?
No. Scaniam opens the survey in the phone's web browser when the attendee scans your QR code. There is no app, no account and no login.
Can the same person get two gifts?
A returning attendee Scaniam recognizes gets their existing gift code back, not a new one. Each gift code can be redeemed once. A returning attendee who already played the game sees the prize from that play and does not play again.
What happens if someone scans the QR code but does not submit?
Nothing reaches you as a lead, and nothing counts toward your monthly limit or the response cap. With the game before the survey, the play shows on your event, but with no contact details. The answers stay on that phone, so the attendee can open the same link later and send them.
Does the Scaniam survey work on spotty WiFi?
The survey needs a connection to open and to send. In between, Scaniam keeps the answers on the phone. If sending fails, the survey sends itself when the connection returns, as long as the page stays open.
What does the attendee get after the survey?
A gift code, usually 5 digits, shown as a large number and as a barcode. If a booth game awarded a prize, the screen also shows the prize. A voucher prize also shows its voucher code.
Can attendees edit their answers after submitting?
Yes, on the same phone and browser, while the survey is open and before the gift is handed over. They open the survey link again and tap Edit answers. The gift code stays the same.
What happens when the survey is closed or full?
New attendees see Survey closed. An attendee who already submitted on that phone still sees their gift code, but cannot edit answers or play the game.
Does phone number entry work for international attendees?
Yes. The phone field picks a country from the phone's language and region settings, and the attendee can change it with the flag and dial-code picker. Scaniam saves the number with its country code.
What if the attendee closes the page before showing the code?
If they had already submitted, opening the same survey link on the same phone shows their gift code screen, with Edit answers while the survey is open. If they never played the game, Scaniam offers the game once first. If they had not submitted, their answers are still on the phone, and they tap Submit again.
Can I show a different offer to returning visitors?
No. Scaniam shows every attendee the same survey and the same gift code rules. There is no separate offer, message or question set for returning visitors.
Should I ask for more than an email address?
Ask for a name, a work email and the company, plus one or two questions that tell your reps how interested the person is. That gives a rep enough to follow up.
What if the attendee scans the QR code twice?
On the same phone, Scaniam shows their gift code screen, with Edit answers while the survey is open. If they never played the game, Scaniam offers the game once first.
