Scaniam lead fields: how survey questions become a lead's name, email and company

Updated Oct 18, 2026

In Scaniam, a lead field is a survey question you mark as one of a lead's seven details - Name, First name, Last name, Job title, Company, Email or Phone. Its answer becomes that detail on the response, the CSV and the Leads page, and each detail can be held by only one question in the survey. Lead fields that follow each other show on one screen, and after you change the mapping, Update existing responses fills in earlier responses without ever blanking a saved detail.

What lead fields are and when to use them

Scaniam is gamified event lead capture and booth CRM for event marketers. A Scaniam lead field is an ordinary survey question that you mark as one of the lead's contact details. The attendee answers it like any other question. Scaniam then copies the answer into that detail on the response.

There are seven lead fields: Name, First name, Last name, Job title, Company, Email and Phone. On a question card they show as Lead field · Name, Lead field · Email and so on.

Lead fields are what turn survey answers into leads you can use. They fill the name, title, company, email and phone columns in Responses, the first six columns of the CSV export, and each lead on the Leads page. The Sales Station shows the attendee's name, title and company from them when a rep scans a code. Job title powers seniority on the Leads page, and Company powers the Accounts view. Scaniam also uses lead fields to keep one lead per person across your events.

Use lead fields on every survey that should produce leads. Most booth surveys need at least Name, Email and Company.

The rules

Rule Detail
Seven lead fields Name, First name, Last name, Job title, Company, Email, Phone.
Which questions can be lead fields Short answer, Long answer, Email and Phone questions. Choice, rating, date and other question types cannot.
One question per lead field Each lead field can be held by one question in the whole survey, across the registration form and the booth form together.
Name split A Name answer is split at the first space. "Mary Ann Smith" becomes first name Mary, last name Ann Smith. One word is a first name only.
Name or First and Last Use either Name, or First name and Last name. If a survey has both and the attendee answers both, the First name and Last name answers are used.
Clean-up Spaces at the start and end are trimmed from every lead field. Email addresses are saved in lower case.
The answer stays too A lead field's answer is also kept as the answer to its own question.
Format checks A question marked Lead field · Email is checked as an email address, and Lead field · Phone as a phone number, even when it is a Short answer.
Work email only Require work email ("Reject Gmail, Yahoo, etc.") is available on Email questions only. It is off by default. Switching a question to Email does not turn it on, and switching an Email question to another type removes it.
Auto-mapping When you finish typing a label, change the question type, or click Switch to Email or Switch to Phone, Scaniam marks the question for you if that lead field is still free. Every Email question becomes Email, every Phone question becomes Phone, and a Short answer with a common label such as "Company", "Designation", "Mobile" or "Full name" becomes that field. It never replaces a lead field you chose, and it stops on a question once you pick Not a lead field.
Duplicating a question Duplicate copies the question without its lead field.
Changing the type Switching between Short answer, Long answer, Email and Phone keeps the lead field. Switching to any other type removes it.
Not a question type A lead field is a setting on a Short answer, Long answer, Email or Phone question, not a separate question type. Each detail is its own question.
Hidden by a condition If a condition hides a lead field, its answer is not sent and does not fill the lead.
Company from email When a lead has no Company answer, the Leads page shows a company taken from a work email address, for example "acme" for jane@acme.com. Common free addresses such as Gmail, Outlook and Yahoo give no company.

How attendees see lead fields

Scaniam shows lead fields that follow each other in your survey on one screen. An attendee types name, company and email in one go instead of tapping through five screens. Any other question between two lead fields starts a new screen, so to split a group, move a non-lead question between them. A single lead field on its own is a normal one-question screen.

In the survey builder, a group of two or more shows the caption "Shown together on one screen" above its first card.

On the shared screen each field shows your own question label. An optional field adds "(optional)" to the label, so attendees can tell what they may skip. First name and Last name sit side by side on a wide screen; every other field takes the full width, and on a phone everything is one column. A Phone field has a country code picker, a Long answer is a multi-line box, and each question's description shows under its field.

A question hidden by a condition does not split a group: if the question between two lead fields is hidden, they share one screen.

The same grouping is used on the registration form and when staff fill the survey for an attendee at the Host Station.

What happens if...

If ... Then ...
You pick a lead field another question already holds Scaniam asks Move this lead field? and names the question that holds it. Move it here moves it, and the old question becomes Not a lead field.
You delete a lead field Scaniam asks Delete your Email field? (or the field's name) and says what you lose, for example "Powers seniority in Leads." for Job title. Keep it is the main button.
You change lead fields on an event that already has responses When you stop editing, Scaniam asks Lead fields changed and offers to update the responses that would change. Click Update or Not now.
You click Not now Nothing changes. Run it later from Settings with Update existing responses.
An earlier answer is not a valid email or phone number Update existing responses leaves that answer out, and the dialog says how many responses have one. The other details of those responses are still updated.
You remove a lead field from a question Details already saved on responses stay. The question's answers just stop filling that detail for new responses.
A lead has no name or email The survey had no Name or Email lead field, the question was not a lead field when the response came in (map it and update existing responses), or the attendee skipped an optional field. A lead over your plan limit is locked and its details are hidden until paid for.
An attendee edits their answers The new answers update the response's details, and the Leads page follows. A detail the attendee leaves empty keeps its saved value.
Your survey has no Email and no Phone lead field Before you go live or print the QR code, the event page's next-step card shows a warning, with Add one to open the survey builder. With a registration page, each form is checked on its own. The warning never stops you going live.
A Short answer or Long answer is labelled like an email or phone but is not a lead field The card suggests "This looks like an email address. Switch the type to Email to validate it." with Switch to Email (or Switch to Phone).

Updating existing responses after a mapping change

Scaniam fills a response's details from the lead fields the survey had when the response came in. If you mark a question as a lead field later, earlier responses do not have that detail yet. Update existing responses fixes that.

It reads each earlier response's answer to the question that now holds each lead field and copies it into that detail. The dialog says how many responses would change: "Update N existing responses? We fill in their contact details from your lead fields. Saved details can change, never go blank." After you click Update, Scaniam shows "N responses updated".

Three rules keep your data safe:

  • A detail is written only when the new answer has a value. A saved detail never goes blank.
  • A saved detail can change: if the newly mapped answer differs, it replaces the old value.
  • An answer that is not a valid email address (for Email) or phone number (for Phone) is never written.

Scaniam offers the update on its own after you change which question holds a lead field, and never runs it without asking. You can also run it any time from Settings. If nothing would change, it says "Every response is up to date". The update needs the questions to still be in the survey: answers to a deleted question cannot be read again.

Lead fields on the registration form and booth form

When your event has a registration page, Scaniam uses one survey with two forms. A lead field keeps the form you put it on. A Lead fields pick added on the Registration form or Booth form tab goes on that form only; turn on Also on Booth form or Also on Registration form to put it on both.

Keep your Email lead field on both forms, so registrations and booth visits carry the same contact details. A lead field on one form only is empty on responses that came through the other form. A registration page cannot be published or go live without an Email lead field on the registration form.

When Scaniam recognizes a registrant at the booth, the booth visit is added to their registration response instead of starting a new one. Booth answers are added to the registration answers, and a later form that leaves a detail empty never blanks it. On the same phone, the booth form opens with the registration answers filled in.

How to set up lead fields

  1. Open your event from Events.
  2. Click Event Settings, then Edit Survey.
  3. To add a new contact question, click Add question. In the Question type picker, choose from the Lead fields group: Name, Job title, Company, Email or Phone. A field already in the survey is greyed out with a tick.
  4. To map a question you already have, find the lead field menu on its card. It reads Not a lead field until you pick one. Choose, for example, Lead field · Email.
  5. For separate first and last names, add two Short answer questions and set them to Lead field · First name and Lead field · Last name.
  6. Put your lead fields next to each other so attendees fill them on one screen. Check for the "Shown together on one screen" caption.
  7. To refuse free email addresses, click the Email question, then the ... (More options) button, and turn on Require work email.
  8. If the event already has responses, wait for the Lead fields changed prompt and click Update. Or click Settings, then Update existing responses.

The builder saves your changes automatically. Click Test Survey on the event page to check what attendees see.

Common questions

Can I map a question I already made to the email field?

Yes. Every Short answer, Long answer, Email and Phone question has a lead field menu on its card. Pick Lead field · Email on your question. If the event already has responses, Scaniam then offers to update them.

Can first name and last name be separate questions?

Yes. Add two Short answer questions and set them to Lead field · First name and Lead field · Last name. Or use one Name question. Scaniam splits a Name answer at the first space.

Why are some contact questions shown together on one screen?

Lead fields that follow each other in your survey are shown to attendees on one screen. To split them, put any other question between them.

Will updating existing responses erase data?

No. Update existing responses only writes a detail when the newly mapped answer has a value. A saved detail can change to the new answer, but it never goes blank.

Can I require a work email instead of Gmail or Yahoo?

Yes, on an Email question. Click the question, then the ... (More options) button, and turn on Require work email. It is off by default.
