Scaniam QR codes and short links: sharing your survey, stations and registration page

Every Scaniam event has its own survey QR code and short link. Attendees scan the QR code with their phone camera and the survey opens in the browser, with no app. You download each QR code as a 1024-pixel PNG or as an SVG that scales to any size, and the Gift Station, Sales Station, Host Station and registration page each have their own link and QR code for the people who use them.

What Scaniam event sharing is and when to use it

Scaniam is gamified event lead capture and booth CRM for event marketers. Every Scaniam event has a set of links and QR codes: one for attendees, one for each booth station, and one for the registration page if the event has one. You find all of them in the Links & QR button at the top of the event dashboard.

The survey QR code is the one attendees see. You print it on your booth banner, table sign or slides. An attendee points their phone camera at it and the survey opens in the browser. They need no app and no account. The booth game, if the event has one, opens from the same QR code, before or after the survey as you set it. What the attendee sees next is on the attendee survey and gift code.

The station links are for your team, not for attendees. The Gift Station link goes to the volunteers who hand out gifts. The Sales Station link goes to your sales reps. The Host Station link goes to staff who fill the survey for attendees. The registration page link goes in invitations and emails before the event.

Every QR code downloads as PNG or SVG, and every link can be copied or shared from the same window.

The rules

One survey QR code per event	Each Scaniam event has one survey QR code. It opens the booth form of the survey.
No separate game link	The booth game opens from the survey QR code. There is no game QR code.
Short links	The survey and each station get a short link under their QR code, in the form scaniam.com/s/ plus a short code. It is easy to read out and type. It opens the same page as that QR code.
Copy link and Share	In the survey and station windows, Copy link and Share hand out the short link. In the survey, Sales Station and Host Station windows, they hand out the full address until the short link is ready, so they always work. The Gift Station window waits until its link is ready.
What the survey QR code opens	The survey QR code opens the event's full survey address directly.
Short links stay the same	A short link is made once per event and stays the same. Opening the window again shows the same link. Only Reset gift links replaces one: the Gift Station short link.
Event address	An event's address is set when you create the event and cannot be edited, so its QR codes never change.
PNG download	PNG downloads a 1024 x 1024 pixel image on a solid white background.
SVG download	SVG downloads a vector file that scales to any size without blurring. Use it for banners and large prints.
White border	Every QR code download includes a white border around the code. Keep it when you place the code on your design.
File names	Files are named after the event, for example Acme_Expo_survey_qr.png.
Share button	Share shows only on devices that have a share menu, which is most phones. On many desktop browsers you see Copy link only.
Station links	The Sales Station and Host Station links and QR codes show only after you turn that station on. The Gift Station link is always available.
Sign-in	A link never signs anyone in. Each rep signs in with their own PIN at the Sales Station, and Host Station staff sign in with their own PIN too. The Gift Station needs no sign-in.
Registration page	The registration page has its own QR code and link. Its Copy link and Share hand out the full page address, and its short link is shown as text to read out.
Duplicated events	A duplicated event gets a new address, so it has a new QR code and new short links.
QR code vs barcode	The survey QR code is not the attendee's barcode. The barcode is what the attendee gets on their phone after the survey, and staff scan it at the Gift Station or Sales Station.

Which link goes to whom

Scaniam gives each group of people at your event its own link. Send each person only the link they need.

The Gift Station window says "Send this link to your volunteer. No login needed." Anyone with the Gift Station link can look up and redeem gift codes, so give it only to your volunteers and never print it where attendees can see it. If it ends up in the wrong hands, use Reset gift links (see below).

The Sales Station window says "Text this link to your reps." Do not print the Sales Station link on booth signs: attendees have no use for it. Reps still need their own PIN to sign in.

Printing the QR code

The Scaniam survey QR code is what most attendees use, so print it where people at your booth see it. Scaniam gives you two file types and leaves the size and placement to you.

• Use the PNG for slides, screens, emails and normal prints. It is 1024 x 1024 pixels on white.
• Use the SVG for banners, roll-ups and anything printed large. It stays sharp at any size.
• Keep the white border that comes with the file. Do not crop it or place the code on a busy background without it.
• Scan your printed QR code with a phone before the show, to check it opens your survey.

Scaniam does not set a minimum print size or scanning distance. That depends on your print and your booth.

A new event starts Not live, and its QR code shows a Survey closed screen until you click Go live. You can print the QR code before going live: it is the same QR code after you go live.

Reset gift links

Reset gift links is in the Gift Station window. Use it when a Gift Station link or QR code was shared with someone who should not have it.

What stops working	Every old Gift Station link, the old Gift Station short link and every downloaded or printed Gift Station QR code stop working at once. This includes Gift Station screens your volunteers have open.
What you get	A new Gift Station link, short link and QR code, shown in the same window right away.
What does not change	The survey QR code and short link, the Sales Station and Host Station links, and the registration page link. Attendees' gift codes do not change either.
What a volunteer sees	An old full link shows Link Was Reset: "This Gift Station link was reset. Ask your admin for the new link." An old short link shows Link not found.
Confirm step	Scaniam asks Are you sure? before resetting. Click Yes, reset all links to reset, or Cancel.

After a reset, send the new Gift Station link to your volunteers, and print the new Gift Station QR code if you printed the old one.

What happens if...

If	Then
An attendee scans the survey QR code while the event is not live	They see Survey closed and "This survey is not open right now." An attendee who already took part sees their own gift code instead, on the same phone.
The survey is full or past its close date	New attendees see Survey closed. People who already took part still see their gift code on the same phone.
The booth form has no questions yet	The QR code opens a Survey Not Ready screen.
An attendee's phone loses signal while the survey loads	They see Connection Problem with Try Again.
A short link does not open	A wrong or replaced short link shows Link not found: "This link does not work. It may have been replaced by a newer one." If the connection dropped, Scaniam shows Couldn't open the link with Try again instead.
A rep opens the Sales Station link while the Sales Station is off	They see Sales Station not enabled. The same applies to the Host Station link and Host Station not enabled.
The event is not live or is over	The Gift Station, Sales Station and Host Station keep working, so your team can finish handing out gifts.
You duplicate an event	The copy has its own new QR code and links. Print the new QR code and send the new station links. The old event's links keep opening the old event.
You keep one event live across several shows	The same QR code keeps working, and every response from every show lands in that one event. Scaniam never closes an event on its own: after the end date it shows Over - still open.
The registration page is a draft	The registration page has no QR code yet. Publish the page first.
You open the Gift Station window	It shows "Making the link…" and keeps Copy link, Share and the downloads off until the link is ready. If it fails, it says "Couldn't make the Gift Station link. Close this window and try again."
The Sales Station or Host Station is switched off for your workspace	That station window shows Not available on this workspace with Contact us.

How to share your event

1. Open your event from Events.
2. Click Links & QR at the top of the event dashboard.
3. Under Attendee Survey, click QR Code. The Survey QR Code window opens with the QR code and the short link under it.
4. Under Download QR, click PNG or SVG. Add the file to your booth graphics.
5. To send the survey link, click Copy link, or tap Share on a phone.
6. To check the survey, click Test Survey on the event dashboard. Your answers in test mode do not count.
7. For gift volunteers: click Links & QR, then Gift Station under Stations. Click Copy link or Share, or download the QR code.
8. For sales reps: click Links & QR, then Sales Station. Turn on Enable Sales Station if it is off, add your reps, then click Copy link or Share.
9. For Host Station staff: click Links & QR, then Host Station. Turn on Enable Host Station if it is off, then copy or share the link.
10. Click Go live when you are ready for attendees. The QR code you printed now opens the survey.

After you go live, the event dashboard also shows a Download and print QR code card (its Download QR button opens the Survey QR Code window), then an Anyone else working the booth? card, where you turn on each station or get its link. Both show until the first response arrives.

To share the registration page, open the Registration page card on the event dashboard and click the QR code icon (QR code and share). The window shows the page's QR code, its address, a short link to read out, Copy link, Share and Download QR (PNG or SVG). The QR code is there once the page is published, even while it is off. When the page is live, you can also use Links & QR > Registration page > Copy link or Open Page.
