The Scaniam event dashboard shows live counts, charts and every response for one event. Export CSV downloads an event's responses, or your leads from the Leads page, on every plan including Free, and leaves out locked, test and Junk responses. On the Premium plan, the AI event report writes a summary of an event with at least 10 responses from totals, company names and open-text answers. Apart from the most common company names, Scaniam never sends answers to Email or Phone questions or to lead-field questions.
What Scaniam event reports are and when to use them
Scaniam gives you three ways to see and use the results of an event. The event dashboard shows live counts, charts and the list of responses for one event while the event runs. CSV export downloads the responses of an event, or your leads, as a spreadsheet file you can open in Excel or Google Sheets or import into a CRM. The AI event report writes a short summary of one event that you can paste into a deck or an email for leadership.
Use the event dashboard at the booth and right after the event, to check how many people took part, how many gifts were handed out and how the reps rated the leads. Use CSV export to hand the leads to sales or load them into your CRM. Use the AI event report when you need a written summary rather than raw rows.
To compare several events side by side, use the Event ROI tab on the Leads page. The dashboard home also shows totals across all your events.
The rules
| Rule | Detail |
|---|---|
| Live numbers | The Scaniam event dashboard updates its counts, charts and response list live while it is open. |
| One response count | Responses counts the event's active responses. It leaves out test responses, responses in Junk or Archived, and games played before a survey that was never sent. The list header shows the same total. |
| Number cards | The number cards appear once the event has responses. Responses and Gifts Given always show. Sales Qualified (Hot + Warm) shows when the Sales Station is on; otherwise Pending (gift not handed out yet). Meetings Booked shows with a meeting question, otherwise Played Game when a game is on. |
| Registration cards | Registered and Checked in show when the registration page is on, or when the event has registrations with the page off. Checked in counts registrants whose gift was handed out. Test responses are left out. |
| Rep table | Sales Rep Activity lists each rep with Leads, Hot, Warm, Cold and Notes. It counts Sales Station ratings only. |
| Charts | Survey Analytics shows one chart per Single choice, Checkboxes, Image choice, Dropdown, Rating, NPS and Scale question, plus Prize Distribution when a game is on. Open-text and "Other" answers are not charted. |
| Response list | The list shows the newest 25 responses. Load more adds 25 more. Search covers every response of the event. |
| Columns | Name always shows. Columns picks the rest. The choice is saved on the event, so everyone in your workspace sees the same columns. It does not change the CSV. |
| Test responses | Responses from Test Survey or the survey builder Preview count nowhere: not in the numbers, charts, CSV or AI event report. They carry a Test tag in the list. |
| Junk and Archived | A response you move to Junk or Archived leaves the counts, charts, CSV and AI event report. Restore to report puts it back. |
| Locked responses | A response saved over your monthly limit is counted in Responses and the charts. Its details stay hidden. It is left out of both CSV files until it is paid for, and its details are left out of the AI event report. |
| CSV on every plan | Export CSV is on every Scaniam plan, including Free. |
| CSV format | Files are UTF-8 and open in Excel, Google Sheets and most CRMs. Cells that would run as a spreadsheet formula open as plain text. |
| AI event report minimum | The AI event report needs at least 10 responses, not counting test, Junk, Archived or locked responses. |
| AI event report plan | The AI event report is on the paid Premium plan. It is the only Scaniam feature that is not on every plan. |
The event dashboard
The Scaniam event dashboard opens when you click an event on the Events page. Before the first response arrives, it shows a card with the next setup step, then a greyed-out preview of the dashboard. Once responses arrive, the number cards, the response list and the charts appear.
Each row of the response list shows the attendee's name and the columns you picked. Click a row to open the response panel: Contact, Gift, Prize Won (with a game), Rep Interaction (rating, topics, next step and rep notes), Survey Answers, Notes and Submitted. Survey answers show the option text you wrote, and "Other" answers show what the attendee typed.
The default columns follow your survey. Scaniam shows Job Title, Company, Email and Phone when the survey asks for them as lead fields, or Code when it asks for none of them, then Gift Status, Interest (when the Sales Station is on), Game Status (when a game is on) and Submitted. The Columns menu groups the columns under Lead, Survey answers and Logistics. Reset goes back to the default.
Select rows to Move to Junk (a bad lead, which goes to the Junk folder on the Leads page), Move to Archived (valid but set aside) or Delete. The excluded button shows only the responses you moved, with Back to active to return.
Each chart can switch between bar, line and pie, change color (bar and line only) and download as a PNG with Download as PNG. The chart type and color are not saved.
CSV export
Scaniam has two CSV exports. Both are on every plan.
The event CSV comes from Export CSV on the event dashboard. It has one row per response of that event, with every exportable response, not only the rows on screen. The file is named after the event, with every character that is not a letter or digit changed to _, for example Tech_Summit_responses.csv. Columns, in this order:
- First Name, Last Name, Job Title, Company, Email, Phone
- Gift Code, Gift Given, Gift Given At
- Game Played and Prize Won (with a game), Door and Game Score (Trick or Treat), Voucher Code (with a voucher prize)
- Submitted At, Registered, registered_at, utm_source, utm_medium, utm_campaign, utm_content, utm_term
- one column per survey question
- Interest Level (Hot, Warm or Cold), Rep (the rep who rated), Next Step, Topics, Rep Notes, Notes
- Meeting host, last, when the survey has a Meeting question with team members ticked (see meeting booking)
Choice answers show the option text, and "Other" answers show "Other:" and what the attendee typed. Every date is in ISO format in UTC time, for example 2026-10-17T09:30:00.000Z. The exception is a team-scheduling Meeting answer, which shows the meeting time in the venue time zone, for example "Wed, Nov 4, 2026 · 2:30 PM", with the time zone in the column name, or "Needs a time" while the meeting has no time. The utm columns hold the campaign tags from registration page links.
The Leads CSV comes from Export CSV on the Leads page. It has one row per lead across your events, for every lead in the current view: the folder, filters and search you picked. Scaniam loads the full list before it builds the file. Columns: First Name, Last Name, Job Title, Seniority, Company, Email, Phone, Events Attended, Latest Event, Latest Event Date, Interest Level, Stage, Quality, Next Step, Rep, Flags, ABM Match, Date, Consent, Notes. The Leads CSV has no survey answers. Use the event CSV for those.
The AI event report
The Scaniam AI event report is a written summary of one event. Click AI Report on the event dashboard, then Generate report. The report has these sections:
- Headline: the number of leads (the dashboard's Responses count), compared with your previous event by start date (never the Sample Event or an archived event)
- Lead Quality: Hot, Warm and Cold counts and shares
- Targets: leads that match your target accounts and titles on the Leads page Targeting tab
- Seniority Mix, from job titles
- Top Companies
- Engagement: game participation and gift redemption
- Rep Performance, when reps rated leads at the Sales Station
- Survey Highlight: the top answer or the main themes of one question
- Executive Summary: three sentences for leadership
- What's Next: hot leads to follow up and target contacts found
Each section has Copy. Copy All copies the whole report. Scaniam keeps the last report and shows it the next time you open AI Report. When the response count has gone up, the report shows "N new responses since last report"; when it has gone down, "Responses changed since last report". Both show Regenerate, which replaces the old report.
What the AI event report sees
The Scaniam AI event report sends the AI only this:
- the event name, city and date
- the total number of leads, and the change against your previous event, with that event's name
- the Hot lead count and share, the count and share of leads that match your targets, and the share of C-Suite and VP leads
- the most common company names
- the labels and top answers of a few Single choice and Checkboxes questions
- answers to Short answer questions, as typed
Apart from the most common company names, Scaniam never sends answers to Email or Phone questions or to lead-field questions. So names, email addresses and phone numbers collected as lead fields never reach the AI. If a Short answer question asks for a name and is not marked as a lead field, its answers are sent as typed. Mark every contact question as a lead field. The details of locked and test responses never reach the AI. The Privacy Policy names the AI provider.
What happens if...
| If ... | Then ... |
|---|---|
| Your workspace goes over its monthly response limit | Scaniam keeps collecting. The extra responses are locked: they count in Responses and the charts, show as "Attendee" with a lock, and are left out of both CSV files. Their details are left out of the AI event report. Credits unlock any locked response; upgrading unlocks this month's. See plans and limits. |
| You test the survey with Test Survey | The test response counts nowhere. A notice shows "N test responses (not counted anywhere)" with Clear test data and Restore as real. |
| You move a response to Junk or Archived | It leaves the counts, charts, CSV and AI event report. Click Undo right away, or select it in the excluded view and click Restore to report. |
| You delete a survey question after people answered it | Its answers stay in the event CSV, in a "Removed question" column at the end. |
| You turn the game off after people played | The Game Played and Prize Won columns stay in the event CSV while any exported response has a game result. |
| An attendee plays the game first and never sends the survey | Scaniam does not count it in Responses and does not export it. |
| The event has fewer than 10 responses | AI Report shows "At least 10 responses needed (N so far)" instead of Generate report. |
| Some of the event's responses are locked | Generate report can show while the event has 10 or more responses in total. If fewer than 10 are paid for, the report says at least 10 responses are needed and that test and locked responses do not count. |
| Your workspace is on a plan without the AI event report | AI Report shows "Premium feature" with Upgrade to Premium and a blurred preview of the sections. |
| New responses arrive after you generate a report | The saved report shows "N new responses since last report" ("Responses changed since last report" if the count went down). Click Regenerate for an updated report. |
| Your previous event is archived | Scaniam skips it. The Headline compares with the latest earlier event by start date that is not archived and not the Sample Event. |
| The export fails | No file is downloaded. With no connection, Scaniam shows "Connection problem. Check your internet and try again." For other errors it shows "Couldn't export the responses. Please try again." |
What it is not
- The AI event report does not receive names, email addresses or phone numbers from your lead fields. It summarizes totals, the most common company names and survey answers.
- Scaniam does not push leads into a CRM. You export a CSV file and import it into any CRM.
- The event CSV is not the Leads CSV. The event CSV is one row per response of one event, with survey answers. The Leads CSV is one row per person across your events, without survey answers.
- The event dashboard does not compare events. Use the Event ROI tab on the Leads page for that.
How to set it up
To read an event's results:
- Open Events and click your event.
- Check the number cards at the top, then the response list.
- Click Columns to choose which columns the list shows. Click Reset to go back to the default.

Common questions
Which CRMs does Scaniam connect to?
Scaniam exports leads as a CSV file on every plan, which you can import into any CRM. Use Export CSV on the event dashboard for one event's responses, or on the Leads page for your leads across events.
When can I export my leads?
At any time, during or after the event. Export CSV builds the file from every response saved so far, so you can export at the end of each booth day and again after the event.
Is CSV export free?
Yes. Export CSV is on every Scaniam plan, including Free, for both the event CSV and the Leads CSV.
Why are some responses missing from my CSV?
Scaniam leaves out locked responses over your monthly limit, test responses, responses you moved to Junk or Archived, and games played before a survey that was never sent. Locked responses are exported once they are paid for.
Does the AI event report see attendee names or email addresses?
The AI event report uses totals, the most common company names, the top answers of a few choice questions and answers to Short answer questions, as typed. Apart from the most common company names, Scaniam never sends answers to Email or Phone questions or to lead-field questions. Mark every contact question, such as name, as a lead field.
How many responses do I need for an AI event report?
At least 10. Test responses, Junk and Archived responses and locked responses do not count toward the 10.
Which plan includes the AI event report?
The AI event report is on the paid Premium plan. The event dashboard, charts and CSV export are on every plan, including Free.
