The Scaniam Gift Station is a web page where a volunteer scans or types an attendee's gift code, checks the attendee's first name, last-name initial and company, and taps Mark Gift as Given. The volunteer needs no Scaniam account and no PIN, only the Gift Station link you send them. Each gift code can be redeemed once, and Reset gift links stops every old Gift Station link and QR code.
What the Gift Station is and when to use it
The Scaniam Gift Station is the booth station for volunteers who hand out gifts. Scaniam is gamified event lead capture and booth CRM for event marketers. After the survey, each attendee gets a gift code with a barcode on their phone. At the Gift Station, the volunteer scans that barcode, or types the code, and Scaniam shows who the attendee is and whether their gift is already collected. The volunteer taps Mark Gift as Given and hands over the gift.
Use the Gift Station when someone at the booth only hands out gifts and does not rate leads. The volunteer needs no Scaniam account, no PIN and no app. They open the link you send them on any phone or tablet with a camera and a browser. Every event has its own Gift Station, on every plan, and there is nothing to turn on.
The rules
The Scaniam Gift Station follows these rules on every plan.
| Topic | Rule |
|---|---|
| Who uses it | Anyone you send the Gift Station link to. There is no sign-in and no PIN, and nothing to turn on: the link works as soon as you share it. |
| Which codes | Gift codes from the attendee survey, the registration page and the Host Station all redeem here. |
| Scanning | Scan Barcode reads only Scaniam gift codes, from the barcode on the attendee's phone. A badge or any other barcode shows Not a gift code. |
| Typing | The volunteer can always type the code (the number under the barcode) in Attendee's gift code. |
| What the volunteer sees | The attendee's first name, last-name initial and company. No job title, email, phone or survey answers. |
| Game prize | If the attendee played your booth game, the card shows the prize to hand over, for example "Game prize: T-Shirt". A digital voucher shows as already on their phone. A leaderboard winner who also got an instant gift shows both, for example "Leaderboard prize: Drone" on a second line. |
| Two steps | Looking a code up changes nothing. The gift is redeemed only when the volunteer taps Mark Gift as Given. |
| One redemption per code | Each gift code can be redeemed once. Later scans show Gift Already Collected. |
| Several volunteers | Any number of volunteers can use the same link at the same time, each on their own device. |
| Event not live | The Gift Station keeps working when the event is not live or is over, so gifts can be handed out late. When the event is not live, a Closed badge shows next to the event name. |
| Connection | Every look-up and every Mark Gift as Given needs a connection. Nothing is saved on the device for later. |
| Prize stock | Redeeming a gift does not change prize quantities. A prize is taken from stock when the game awards it. |
What the volunteer does at the booth
A Scaniam Gift Station shift is the same steps for every attendee. You can use this list to brief your volunteers.
- Open the Gift Station link you were sent. The page shows the logo, the words Gift Station and the event name.
- Tap Scan Barcode and point the camera at the barcode on the attendee's phone. If it will not scan, type the code into Attendee's gift code (below or enter manually) and tap the search button.
- Check the name and company on screen against the person in front of you. The card says "Submitted. Gift not yet collected."
- Tap Mark Gift as Given. The screen shows Gift Given ✓ with the name and company.
- Hand over the gift, and any game prize shown on the card.
- Tap Check Next Person.
What happens if...
| If | Then |
|---|---|
| The code was already redeemed | Gift Already Collected, "Collected at [time]" (with the date when it was not today), the name and company. Nothing changes. Tap Check Another Code. |
| Two volunteers redeem the same code at the same moment | Only one redemption counts. The other volunteer sees Gift Already Collected. The same applies between a volunteer and a rep: the gift is redeemed once, and the rep sees "Lead captured · Gift already collected at booth". |
| The code is wrong or belongs to another event | Code not found - "No response matches [code] for this event." |
| The volunteer scans a badge or another barcode | Not a gift code - "This is not a gift code for this event. Scan the code on the attendee's phone." |
| The camera cannot start | The scanner shows Camera Unavailable and a Use Manual Entry button. The volunteer types the code instead. |
| The attendee is over your monthly response limit | The gift can still be redeemed. The card shows "Attendee" with no name or company until you pay for the response (see plans and limits). |
| Your survey asks no name | The card shows "Attendee". |
| A look-up or Mark Gift as Given fails | Something went wrong with a Try again button. If marking failed, look the code up again before handing over a gift: Gift Already Collected means it was recorded. |
| The page cannot load because there is no connection | Connection Problem with a Try again button. |
| A gift was marked as given by mistake | Undo it from the response on your event dashboard (see "Where redemptions show up"), after the response is paid for if it is locked. The attendee can then collect it again. |
| The attendee opens the survey link again after collecting | Their phone shows Gift Already Collected - "Your gift has already been claimed. Please ask at the booth if you have questions." - with their code greyed out and any prize or voucher code they won. |
| Someone else uses the same phone | While the survey is open, the attendee's Gift Already Collected screen has "Someone else? Start a new survey". |
Lost or shared links and Reset gift links
Anyone who has the Scaniam Gift Station link can look up gift codes for that event and mark gifts as given. Treat it like a key: send it only to your volunteers, and do not print it where attendees can scan it. If a link is lost or shared too widely, use Reset gift links.
After a reset:
- Every Gift Station link and Gift Station QR code made before the reset stops working, including printed QR codes and pages volunteers already have open.
- An old short link opens Link not found. A page that was already open shows Link Was Reset - "This Gift Station link was reset. Ask your admin for the new link." - when it loads or on its next look-up.
- The window shows a new short link and a new QR code. Send the new link to your volunteers and print the new QR code if you printed the old one.
- Nothing else changes. The survey QR code, the Sales Station, Host Station and registration page links keep working, and no gift code or redemption changes.
Other link screens: Link Incomplete means the link was not copied in full, or an old link was opened again after a reset, and Gift Station Not Found means the event address is wrong. In both cases, send the volunteer the link again from the Gift Station window.
Where redemptions show up
Each Scaniam Gift Station redemption updates the attendee's response straight away.
- Event dashboard: the Gifts Given count, and Pending when the Sales Station is off. Each response shows "Given [time]" or "Pending". Open a response to see its Gift section, with the code and Given or Pending.
- Undo: in the response's Gift section, click Undo next to Given, then Undo gift given. Use it when a gift was marked by mistake. A locked response shows Undo only after it is paid for.
- CSV export: the Gift Code, Gift Given and Gift Given At columns.
- Overview page: Gifts Given across your events, with a redemption rate.
- Registration pages: a registrant whose gift is redeemed, at the Gift Station or the Sales Station, counts as Checked in.
Goodie hunters
Scaniam limits people who try to collect more than one gift. Each gift code can be redeemed once. A returning attendee Scaniam recognizes gets their existing gift code back, not a new one, so a second visit shows Gift Already Collected once the gift is redeemed. The volunteer also sees the name and company before handing over, so they can check the person.
What the Gift Station is not
- The Gift Station is not a lead capture tool. It has no rating, no notes and no tags, and a redemption there credits the lead to nobody. Use the Sales Station when reps rate leads Hot, Warm or Cold.
- You do not need a Gift Station when every visitor talks to a rep: the Sales Station redeems the gift in the same save as the rating. Many booths run both. A gift redeemed at the Gift Station can still be rated at the Sales Station afterwards.
- The Gift Station is not a badge scanner. It reads only the gift code barcode Scaniam shows on the attendee's phone.
How to set up the Gift Station
You share the Scaniam Gift Station from the event dashboard. There is nothing to switch on.
- Open your event from Events.
- Click Links & QR, then Gift Station under Stations. Once the event has responses or a registration page, you can also click Gift Station in the Booth tools card.
- The Gift Station window says "Send this link to your volunteer. No login needed." It shows "Making the link…" for a moment, then a QR code and the short link.
- Click Copy link (or Share on a phone) and text the link to your volunteers. Or use Download QR (PNG or SVG) and show the QR code to them.
- To stop old links, click Reset gift links, then Yes, reset all links. Share the new link and QR code.
If the window shows "Couldn't make the Gift Station link. Close this window and try again.", close it and open it again.
Which plans include the Gift Station
The Gift Station is on every Scaniam plan, including Free. Plans differ by monthly responses: see pricing.
Common questions
Do volunteers need a Scaniam account to use the Gift Station?
No. The volunteer opens the Gift Station link you send them. There is no sign-in and no PIN.
Can a Scaniam gift code be redeemed twice?
No. Each gift code can be redeemed once. A second scan shows Gift Already Collected with the time it was collected. If a gift was marked by mistake, you can undo it from the response on your event dashboard.
What happens to the old Gift Station link when I reset gift links?
Every Gift Station link and QR code made before the reset stops working, including printed QR codes and pages volunteers already have open. The window then shows a new link and QR code to share.
