Scaniam Sales Station: how reps scan, redeem and rate leads in one step

Updated Oct 18, 2026

The Scaniam Sales Station is a web page where your sales reps sign in with a PIN, scan an attendee's gift code barcode, see who the attendee is, rate the lead Hot, Warm or Cold and redeem the gift in one save. Each gift code can be rated once at the Sales Station. The Sales Station is on every plan and runs in the browser of any phone or tablet, with no app to install.

What the Sales Station is and when to use it

The Scaniam Sales Station is the booth station for sales reps. Scaniam is gamified event lead capture and booth CRM for event marketers, and the Sales Station is where a booth conversation becomes a rated lead. The attendee fills your survey on their own phone and gets a gift code with a barcode. The rep scans that barcode at the Sales Station. Scaniam then shows the rep who the attendee is: name, job title, company and some of their survey answers. The rep picks Hot, Warm or Cold, adds topics, a next step and notes, and taps Save & Redeem Gift. That one save records the rating, credits the lead to the rep and marks the gift as handed over.

Use the Sales Station when reps talk to visitors and you want their judgment on each lead. The rating happens at the booth, while the attendee is still in front of the rep. If a rep taps the wrong rating, you can change it later from your dashboard. The Sales Station link is for reps only. Attendees never open it.

The rules

The Scaniam Sales Station follows these rules on every plan.

Topic Rule
Who signs in Reps you add to the event. A rep needs no Scaniam account.
Sign-in The rep enters their PIN on the Sales Rep Sign In screen. Work email (optional) can be added but is not required.
PINs Each rep signs in with their own PIN. You set it when you add the rep.
Number of reps No limit. Several reps can be signed in at the same time, each on their own device.
One list of people The Sales Station and the Host Station share one list of people per event. A rep added in one window appears in the other.
What the rep sees after a scan Before rating: the attendee's name, job title, company and up to 6 of their survey answers. Email address and phone number are not shown.
Rating Hot, Warm or Cold. One is required before saving. The three levels are fixed and cannot be renamed.
Topics, Next Step, Notes Optional. The rep picks any of the Topics and at most one Next Step from your event's lists. Notes is free text, up to 2,000 characters.
Gift Save & Redeem Gift marks the gift as handed over in the same save. If the attendee played a game, the next screen shows the game result and any prize to hand over.
One rating per code Each gift code can be rated once at the Sales Station. A later scan of the same code shows Already captured and changes nothing.
Changing a rating You change it from your dashboard, not at the Sales Station (see "Where ratings and notes show up").
Event not live The Sales Station keeps working when the event is not live or is over, so gifts can be handed out late.
Sign-in ends When you remove the rep or change their PIN. While the Sales Station is off, reps cannot look up or save codes.
Monthly limit A Sales Station save updates the attendee's existing response. It does not create a new response and does not count toward your monthly response limit.

What the rep does at the booth

A Scaniam Sales Station shift is the same steps for every attendee. You can use this list to brief your reps.

  1. Open the Sales Station link you sent. The page shows your logo (or workspace name), the words Sales Station and the event name.
  2. Enter your PIN. Add your work email if you like. Tap Sign in.
  3. On Scan attendee barcode, tap Tap to scan barcode and point the camera at the barcode on the attendee's phone. If the barcode will not scan, type the gift code (the number under the barcode) into Gift code and tap Go.
  4. Check the name, job title, company and answers on screen.
  5. Under Rating, tap Hot, Warm or Cold. Pick any Topics, one Next Step and add Notes if you want.
  6. Tap Save & Redeem Gift. The screen shows the attendee, the rating (for example Hot Lead) and "Gift redeemed · Lead captured".
  7. Hand over the gift, and any game prize shown on screen.
  8. Tap Scan Next Attendee.

To hand the device to another rep, tap Switch rep. The next rep signs in with their own PIN.

What happens if...

If Then
The code was already rated by any rep Scaniam shows Already captured, the attendee's name and company, and "This lead was already captured by [rep name]". Nothing changes. Tap Scan Another.
Two reps save the same code at the same moment Only the first save counts. The second rep sees Already captured with the first rep's name, and their rating and notes are not saved.
The gift was already collected at the Gift Station The rep can still rate the lead. The screen says "Gift already collected." and, after saving, "Lead captured · Gift already collected at booth". The gift is not redeemed twice.
The code is wrong or belongs to another event Scaniam shows "Code not found. Check the barcode and try again." right after the scan. Nothing is saved.
The camera cannot start The scan screen shows Camera Unavailable and a Use Manual Entry button. The rep types the gift code instead.
The signal is weak during the scan The rep can still rate. Scaniam says it couldn't look up the code and checks it when the rep saves.
Saving fails because there is no connection The rating is saved on the rep's device and the rep can scan the next attendee. The scan screen shows how many leads are not sent yet, with Send now. Scaniam sends them when the signal returns, while the rep is signed in on that device. A lead not sent within 24 hours is removed from the device, and the page says so. If the device cannot store the lead, the rep sees an error and the rating stays on screen.
You remove a rep during the event Their next action sends them to sign-in with "You're no longer on this event's staff list. Ask your admin." They cannot sign in again. Leads they already saved keep their name. Leads they saved on their device without a signal can be sent by another rep who signs in on that device, with Send under my name. Those leads are credited to the rep who sends them.
You change a rep's PIN Their next action sends them to sign-in with "Your PIN was changed. Please sign in again." If they were rating a lead, they return to it after signing in with the new PIN.
You turn the Sales Station off A newly opened page shows "Sales Station not enabled". Reps already signed in cannot save. They see "Sales Station is turned off for this event." Reloading the page shows "Sales Station not enabled".
The attendee is over your monthly response limit The rep can still rate the lead and redeem the gift. The Sales Station shows "Attendee" with no name, job title, company or answers. The details appear in your dashboard once you add credits, or upgrade in the same month (see plans and limits).

Where ratings and notes show up

Scaniam credits each Sales Station save to the rep who signed in. The rep's name is stored with the lead at the moment of saving, so renaming a rep later does not change leads they already saved.

  • Event dashboard: open a response to see Rep Interaction: the rep's name, the rating, the topics, the next step and the rep's note. You can change the rating there with Hot, Warm or Cold, and click Edit to correct the rep's note. Topics and next step cannot be changed. Sales Rep Activity shows each rep's leads, Hot, Warm and Cold counts, and how many have notes.
  • Leads page: each appearance shows the rating and "via [rep name]", and the lead's source shows Rep. You can set or change a lead's rating under Rating and filter leads by Hot, Warm or Cold. The Event ROI tab has a Rep Performance table with each rep's leads, Hot, Warm, Cold and C-Suite / VP counts.
  • One person, several ratings: if the same person has more than one gift code across your events, each code is rated separately. The Leads page shows one lead with the highest rating, and the rep and notes from that same rating.
  • CSV export: in both CSV exports the rating is in the Interest Level column, next to the rep and the next step.

Host Station entries are not ratings. They show as "Entered at Host Station by [name]" and do not count in Rep Performance. If a rep rates that attendee later, both names are kept.

Sales Station, Gift Station or Host Station?

Scaniam has three booth stations. They do different jobs, and many booths run more than one.

You do not need a Gift Station if every visitor talks to a rep, because Save & Redeem Gift already redeems the gift. Run both when a volunteer hands out gifts to everyone and reps rate only the visitors they talk to. A gift redeemed at the Gift Station can still be rated at the Sales Station afterwards.

What the Sales Station is not

  • The Sales Station is not a badge scanner. It reads only the gift code barcode Scaniam shows on the attendee's phone. Unlike lead retrieval badge scanning, Scaniam has the attendee answer your own survey on their own phone.
  • The Sales Station is not for attendees. Text the link to your reps and do not print it at the booth. Attendees scan your survey QR code.
  • The Hot/Warm/Cold rating is not an automatic lead score. The rep chooses it at the booth.
  • The Sales Station is not a CRM. Rated leads go to your Leads page, and Scaniam exports them as a CSV file that you can import into a CRM that imports CSV files.
  • The Sales Station is not the Gift Station. Use the Gift Station when someone only hands out gifts and does not rate leads.

How to set up the Sales Station

You set up the Scaniam Sales Station per event, from the event dashboard. A new event starts with the Sales Station off, and the Sales Station card shows Off.

  1. Open your event from Events.
  2. In Booth tools, click Sales Station. You can also click Links & QR, then Sales Station under Stations.
  3. Turn on Enable Sales Station. The window now shows the link, the Capture form and the Sales Reps list.
  4. Under Add Rep, enter the rep's Name, a work email if you like, and a PIN. Click Add Rep. Repeat for each rep.
  5. Optional: under Capture form, change the Topics and Next steps lists. Click Save capture form. To go back to the default lists, click Restore defaults, then Save capture form.
  6. Click Copy link (or Share on a phone) and text the link to your reps.

If the window does not accept a PIN, it says why under the PIN field.

The default Topics are Pricing, Demo, Partnership, Technical and Just browsing. The default Next steps are Follow up, Schedule demo, Send content and No action. An empty list shows the defaults to reps. Changing a list later does not change leads already saved.

To edit a rep, click the pencil icon next to their name. To remove a rep, click the trash icon (Remove) and confirm. When you duplicate an event that has the Sales Station or Host Station on, Scaniam copies its reps with their emails and PINs if a station stays on in the Sales reps step. You can review them in that step.

Which plans include the Sales Station

The Sales Station is on every Scaniam plan, including Free. Plans differ by monthly responses: see pricing.

Common questions

Do sales reps need a Scaniam account to use the Sales Station?

No. You add each rep to the event with a name and a PIN. The rep signs in on the Sales Station page with that PIN. A work email is optional.

Can several reps use the Sales Station at the same time?

Yes. There is no limit on the number of reps. Each rep signs in on their own phone or tablet, and every lead they save is credited to them.

Does the Scaniam Sales Station scan event badges?

No. The Sales Station reads only the gift code barcode that Scaniam shows on the attendee's phone after the survey. It does not read event badges.
