A Scaniam workflow is a ready-made attendee journey for one kind of event. When you create an event from a workflow, Scaniam sets up its questions, game, prizes, rules and, for registration, a page, all in one go. The workflow is applied once, so every part can be changed afterwards and changes never affect other events. Scaniam has three workflows - Booth spin wheel, Event registration and Lead-qualifying quiz - in Library, then Workflows.
What Scaniam workflows are and when to use them
A Scaniam workflow is a ready-made attendee journey for one kind of event. Scaniam is gamified event lead capture and booth CRM for event marketers. A workflow sets up the parts of a Scaniam event together: the sign-up questions, other questions, the game, the prizes, the rules between them and, for registration, a registration page.
You pick a workflow when you create an event. Scaniam builds the event in one go. You then replace the examples with your own and go live.
Good for: an event that needs more than one path for everyone, such as different gifts for senior people, or sign-ups before the event and check-in at the booth. Not for: a booth that only needs a short survey. Start from a blank event or a survey template instead. The overview of each workflow is on Scaniam workflows.
The rules
| Rule | Detail |
|---|---|
| Where workflows are | Workflows in the sidebar opens Library, then Workflows. Start from a workflow is also the first choice when you create an event. |
| Applied once | Scaniam copies the workflow into the new event when you click Create event. Nothing links the event to the workflow afterwards. |
| Every part can change | Questions, prizes, rules and the page on the event can be edited like any other event. |
| Other events | A change to one event never changes another event. |
| Example content | Questions marked "Example - change it" are examples. The Journey shows "Replace the example questions" until you change them. |
| Not live | An event created from a workflow starts Not live. Attendees can't use it until you click Go live. |
| Set up step by step | The event's Journey card has Set up step by step, which opens each step of the journey in order and ends on a Setup summary. It also opens by itself the first time you open a new workflow event. |
| Plans | Booth spin wheel and Event registration are on every plan. Lead-qualifying quiz is on Premium and Enterprise. |
The three Scaniam workflows
| Workflow | What it sets up | Best for |
|---|---|---|
| Booth spin wheel | Full name, Work email, Company and Job title. Two example questions: the visitor's goal at the event and when they plan their next project. Spin the Wheel after the questions, with three example prizes (Branded T-Shirt, Insulated Water Bottle, Sticker Pack), each with its own odds and quantity. | High-traffic expo booths. About 30 seconds per attendee. |
| Event registration | A registration page, made from the Booth invite template and not yet published. Full name, Work email, Company and Job title on the registration form. One example question on the registration form and one only at the booth. No game. | Conferences, summits and user groups. About 1 minute per attendee. |
| Lead-qualifying quiz | Work email (work addresses only), First name, Last name, Company, Job title and a Seniority question. Four example questions. A Quiz / Trivia game after the questions: each player gets 3 questions picked from 9, and the answers are shown at the end. Gifts by seniority and score in two groups, Senior leaders and Everyone else, with a consolation prize. Two last-screen links that show once you add their web addresses. | B2B trade shows and summits. About 1 minute per attendee. |
The Scaniam website calls the Lead-qualifying quiz Pitch quiz.
What you can add after picking a workflow
These are settings of the event, not part of any workflow. You add them in Game Setup or the event's settings when your event needs them.
- Target companies: a reward group can be limited to players whose work email is at one of your private list of target company domains.
- Companies that never win: a private list of email domains whose players can play but win no prize.
- Questions for some people only: a Quiz / Trivia question can be shown only to players who gave a chosen answer, such as a seniority.
- Right or wrong after each answer: a Quiz / Trivia game can show feedback after each question, at the end, or both.

What happens if...
| If ... | Then ... |
|---|---|
| You pick Lead-qualifying quiz on the Free or Starter plan | The button reads Available on Premium and opens Plan & Billing. No event is created. |
| Your workspace has Premium workflows switched off | The Lead-qualifying quiz shows "Not available on this workspace. Contact us." No event is created from it. |
| You leave the example questions unchanged | The Journey shows "Replace the example questions". The event still works, and attendees see the examples. |
| You close Set up step by step | It does not open again by itself. Click Set up step by step on the Journey card to start it again. |
| You change a question on the event | Only that event changes. The workflow in the Library stays the same. |
| Scaniam updates a workflow later | Events already created from it do not change. |
| You turn the game off on a workflow event | The event works as a plain survey, like any event without a game. |
| An Event registration page is not published | People can't open the registration page. Publish it in the page editor when it is ready. |
What Scaniam workflows are not
- Not a live link: a workflow is copied into the event once, like a template.
- Not a separate tool: everything a workflow sets up can be built by hand on any event.
- Not a builder: you can't create your own workflow in the app. You change one of the three instead.
How to start an event from a workflow
- Click Workflows in the sidebar.
- Click Preview on a workflow to see its journey and the "You'll need to" list.
- Click Use for a new event in the preview, or Use workflow on the card.
- Type the event name and dates, then click Create event.
- On the event page, click Set up step by step on the Journey card. Replace the example questions, set your prizes and check each step.
- On the Setup summary, click Try Test Survey to play the journey as an attendee.
- Click Go live when the event is ready.

Common questions
What is the difference between a Scaniam workflow and a form with a game?
A form with a game gives every attendee the same path. A workflow sets up a whole journey for one kind of event in one go, including rules that treat people differently, such as gifts by seniority and score in the Lead-qualifying quiz. Everything a workflow sets up can also be built by hand.
Can I change a Scaniam workflow after I pick it?
Yes. The workflow is applied once when the event is created. After that, every question, prize, rule and page on the event can be changed like any other event. Changes affect only that event.
Which Scaniam workflows are on the Free plan?
Booth spin wheel and Event registration are on every plan, including Free. Lead-qualifying quiz is on Premium and Enterprise.
Is the Pitch quiz the same as the Lead-qualifying quiz?
Yes. The Scaniam website calls it Pitch quiz. In the app it is listed as Lead-qualifying quiz.
Can I build my own workflow in Scaniam?
No. You start from one of the three workflows and change it to fit your event.
Does a workflow make my event live?
No. An event created from a workflow starts Not live, like every new event. You turn it on with Go live when you are ready.
