A Scaniam registration page is a public page where people sign up before your event. Each registrant gets a gift code with a barcode, and that same code works at your booth. When staff redeem it at the Gift Station or the Sales Station, the registrant counts as checked in. The page belongs to the same event as your booth QR code, so a registration and a booth visit are one response, and registration pages are on every plan.
What a Scaniam registration page is and when to use it
Scaniam is gamified event lead capture and booth CRM for event marketers. A Scaniam registration page is a public web page where people sign up before your event: a booth invite, an executive dinner, a talk or a webinar. You build it in the page editor, share its link, and people fill in a short registration form on the page.
Each registrant gets a gift code with a barcode, the same kind of code a booth visitor gets after the survey. At the event, they show it at your booth. Staff scan or type it at the Gift Station or the Sales Station to hand over the gift, and the registrant now counts as checked in.
The registration page belongs to the same event as your booth QR code. One event has one survey, split into a Registration form and a Booth form. A person who registers and then visits the booth stays one response with one gift code. Their registration answers and booth answers sit together on the same lead.
Use a registration page when you invite people before a show and want to know how many invites turned into real booth visits. Every event can have one registration page.
The rules
| Rule | Detail |
|---|---|
| One page per event | Every Scaniam event can have one registration page. It opens at your event's link, under /r/. |
| Same event, same codes | A registration is a normal response on the event. The registrant's gift code is redeemed at the booth like any other code. Each gift code can be redeemed once. |
| Two forms | Each survey question is on the Registration form, the Booth form, or both (Both forms, the default). The registration page shows registration-form and both-form questions. The booth QR survey and the Host Station show booth-form and both-form questions. |
| Email required | The registration form needs a question set as the Email lead field. Scaniam does not publish the page or turn it on without it. |
| One screen | The registration form is one screen with one button: your Button label, or Complete Registration by default. Required answers and format checks work as on the booth survey. |
| Confirmation | After registering, the registrant sees You are registered! (or You're already registered! when Scaniam recognizes them), the message "Show this at the booth.", their gift code as a barcode and digits, and Copy gift code. You can change the heading and the message. |
| No barcode option | With Show a check-in barcode turned off, the confirmation shows no code and the default message is "We'll see you there." Registrants then check in when they fill the booth survey and their gift is redeemed. |
| Reopening the page | On the same phone, while the page is Live, the registrant sees their code again, with Register someone else for a shared phone. |
| Event must be live | The page takes registrations only while the event is live. A live event also takes booth survey responses. |
| Draft and publish | Visitors see edits only after Publish changes. |
| Live or Off | A separate Live / Off switch turns the page on or off. |
| Shared limits | The survey's Close survey on time and Response cap apply to the registration form too. Registrations count toward the cap. |
| Counts | Registered and Checked in, see below. |
| Search engines | Registration pages are hidden from search engines. Share the link yourself. |
| Booth game | With the page on and an event start date, the booth game opens shortly before the event starts, for everyone. |
Registered and checked in
Scaniam counts two numbers for an event with a registration page. Registered is everyone who sent the registration form. Checked in is everyone who registered and whose gift was then redeemed at your booth, at the Gift Station or the Sales Station. Filling the booth survey alone does not check someone in. If you click Undo gift given in a response's details, that person no longer counts as checked in.
The event page shows Registered and Checked in tiles while the page is on, or once anyone has registered. While the page is Live, the Registration page row in the event's Booth tools card also shows "N registered · N checked in". Test runs are left out of both counts.
In the event's response table, a registrant has a Registered badge. The event CSV has a Registered column, a registered_at column, and one column each for utm_source, utm_medium, utm_campaign, utm_content and utm_term.
To see where sign-ups came from, add those UTM values to the registration link you share, for example ?utm_source=linkedin. Scaniam saves them with the first registration only.
At the booth: the same code
A Scaniam registrant uses one gift code from sign-up to check-in. What they see at the booth depends on how they come back:
- Same phone, booth QR code: the booth survey opens with their answers filled in, until their gift is handed over (while the survey is open). If the game comes before the survey, the game shows first. When they send it, their booth answers are added to their registration. Nothing they gave at registration is erased, and their gift code stays the same. If the event has a booth game, they can play it then.
- Another phone: if they fill the booth survey on another phone and Scaniam recognizes them, they keep their existing gift code instead of a new one.
- No survey at all: they can show the code from their registration confirmation. Staff redeem it at the Gift Station or the Sales Station, and they count as checked in.
Scaniam does not scan event badges and does not check people in at the venue door. Check-in is the moment their gift code is redeemed at your booth.
What happens if...
| If ... | Then ... |
|---|---|
| The event is not live | The page shows "Registration is not open yet" and takes no registrations. While the page is Live, a registrant who reopens it on their phone still sees their code. |
| The page is Off | The link shows "Registration is closed." and takes no registrations. |
| The page was never published | The link shows "This page is not available". |
| The Response cap is reached or the Close survey on time has passed | The form shows "Registration is closed." A registrant who already has a code still sees it. |
| The same person registers twice | Scaniam shows You're already registered! and the same gift code, when it recognizes them. |
| A booth visitor fills the registration form later | When Scaniam recognizes them, they keep their code and now count as Registered. |
| The signal drops while registering | The answers stay on the phone. The form says "You are offline. Your form progress is saved on this device." and sends again on its own when the connection returns. |
| You are over your monthly response limit | Registrations are still saved and registrants still get their code. In your dashboard the extra responses are locked until paid for. See pricing. |
| Someone opens the booth game before the event | They see "The game opens at the event. Come back to play." and go on to the survey or their code. |
| You duplicate the event | The registration page is not copied. Make a new one, or use Copy from another event in the page editor. |
What it is not
- A Scaniam registration page is not ticketing. There are no payments, tickets or seat types. To limit sign-ups, use the survey's Response cap.
- It is not a full website builder. You pick from a fixed set of section types, with no custom code.
- It is not a separate event. Registration and the booth share one event, one survey and one set of gift codes.
- Scaniam does not email registrants. The code is shown on their screen after they register.
The page editor
The Scaniam page editor builds the registration page from sections, with a live preview beside it. A new page opens on "Build your registration page" with three choices: Start from a template (Choose template), Copy from another event (Choose event) or Start blank (Start editing).
Templates. Booth invite, Executive dinner, Talk / session and Webinar. A template fills in your event's real name, date and location plus example text to replace. Picking a template over an edited draft asks "Replace current draft?".
Sections. The Hero is always first. Below it you add up to 12 sections in any order: Text, Cards, Speakers, Agenda, FAQ, Logos, Video and Image. A Footer is optional, and the Registration form card holds the form's title, subtitle, up to 3 highlights, a footnote, a privacy policy link and the confirmation settings. Each section can be moved up or down, duplicated, hidden or deleted, and a deleted section can be brought back from the "Section deleted" message. The editor has undo and redo.
Hero. Every hero element is optional: your logo, a partner logo, a label, the headline, a description, up to 4 facts, a countdown and a banner image. Hide an element to keep it for later, or remove it. Hidden content never appears on the live page. The countdown shows days, hours and minutes to a start time and disappears once that time passes.
Text. Text can be bold or italic, with links, bullet and numbered lists, text sizes and colors. Colors come from your brand or a custom color, with a readability check. Pasted sizes and colors are dropped.
Video. A Video section takes a YouTube link. The video player loads when the visitor clicks play.
Size. The editor warns "Page is nearly full" as a page grows, and "This page is too large. Remove some sections or shorten text." when it cannot be published.
Preview. The preview shows Desktop and Mobile views, and the Form or the Confirmation screen. On a phone, the live page also shows a sticky Register bar once the visitor scrolls past the form.
Design and themes
The Scaniam page editor's Design tab sets the look of the whole page:
- Theme: Default (the standard Scaniam look), Minimal (light, clean and compact) or Cover (your banner on top, details and form below). A theme changes section colors, alignment and spacing. Your text and images stay. Themes use your workspace brand colors.
- Page title: shown in browser tabs and link previews. Empty, it falls back to your headline, then your event name.
- Page layout: Standard, Sidebar form or Cover. This sets where the form sits: below the content, beside it, or beside a wide banner.
- Spacing: Comfortable or Compact.
- Logo size: Small, Medium or Large. Your logo comes from your workspace settings.
Applying Cover to a page with no banner adds an example banner. Publish changes then warns "You're still using the example banner" until you upload your own.
To compare themes in your own brand first, open Library, then Themes. Use in event lets you Create a new event with this look, or apply it to an upcoming event. Nothing goes live until you publish.
Copy from another event copies that event's page and its images into this event's draft, then says "Check dates, agenda and anything specific to this event before you publish." Each event keeps its own copy of the images.
Images
Scaniam registration pages take JPG, PNG or WebP images under 3 MB. Drag an image onto the field or click to choose one. SVG files are not accepted. A wide banner image works best, and a partner logo looks best as a PNG with a transparent background.
Link previews
When you share a Scaniam registration link in a chat or social app, the preview shows your page title (or your headline, or the event name), your hero description, your banner image (or your logo) and your workspace name. Scaniam is not named in it.
Apps keep old previews for a while. After changing the image or headline, share the link with ?v=2 at the end (a new number each time) so apps show the new preview.
Draft, publish and Live / Off
The Scaniam page editor saves every edit as a draft ("Draft saved"). Visitors see your edits only after you click Publish changes. The editor header says Not published yet, Unpublished changes or All changes published.
If sections still hold example text, Publish changes asks first: Publish anyway or Fix them. Discard changes in the More options (three dots) menu returns the draft to the live page ("Your live page stays as it is."). Start over clears a page that was never published.
The Live / Off switch in the editor header is separate from publishing. Turning on a page that was never published asks "Publish page?" and publishes it. Publishing while the page is Off shows "Published. Your page is Off." with Turn on.
In the event's Booth tools card, the Registration page row shows Draft (with Finish page), Off (with Go live and Edit page), Live, or Live - unpublished changes. When the page is Live but the event is not, it shows Event not live and "People can't register until the event is live."
To stop taking registrations but keep the booth survey open, turn the page Off. Pausing the event stops both.
How to set up a registration page
- Open your event from Events. In the Booth tools card, find Registration page and click Create page.
- Click Choose template and pick one, or Choose event to copy a page, or Start editing for a blank page.
- If your survey has no questions, click Add the standard contact fields. This adds first name, last name, work email, phone, company, job title, an "I'd like to..." choice and a consent box.
- Replace the example text in each section. Add sections with Add section, and set the look on the Design tab.
- In the Registration form card, set the form title, the button label and what registrants see after registering.
- Open the More options (three dots) menu, then click Edit form fields. On the Registration form tab, turn Also on Booth form off for questions you want only at registration. Keep the Email lead field on the registration form.
- Back in the page editor, click Publish changes.
- Turn the switch next to Off to Live. On a small screen, the switch is in the More options menu. If the event is not live yet, go live from the event page: the page takes registrations only while the event is live.
- Share the link. Copy it from the Registration page row, or click the QR code icon next to it for a QR code (PNG or SVG), a short link to read out and Share.
To try the form without it counting, open the survey builder on the Registration form tab while the page is Live and click Preview. A preview registration is a test run.
If Publish changes says "Add an Email lead field to the registration form before publishing.", open the survey builder and set a registration-form question as the Email lead field. If the page says it is too large, remove sections or shorten text.
Which plans
Registration pages and the page editor are on every Scaniam plan, including Free. Registrations count toward your monthly responses: see pricing.
Common questions
Can people register before the event and check in at the booth?
Yes. People sign up on your Scaniam registration page and get a gift code with a barcode. At the booth, staff scan or type that code at the Gift Station or the Sales Station to hand over the gift, and the registrant counts as checked in.
What is the difference between registered and checked in?
In Scaniam, registered means the person sent the registration form. Checked in means they registered and their gift was then redeemed at your booth. Filling the booth survey alone does not check someone in.
Do registrations count toward my monthly responses?
Yes. A registration is a response on your event, so it counts toward your monthly responses like a booth response. When the same person visits the booth and Scaniam recognizes them, the visit joins their registration and does not count again.
Does Scaniam email registrants a confirmation?
No. Scaniam shows the confirmation and the gift code on the registrant's screen after they register. It does not send an email or a calendar invite.
Can registrants play the booth game before the event?
No. When your registration page is on and the event has a start date, the booth game opens shortly before the event starts. Before that, a player sees "The game opens at the event. Come back to play."
