Scaniam is gamified event lead capture and booth CRM for event marketers. What Scaniam is and when to use it
Scaniam is gamified event lead capture and booth CRM for event marketers. A company that runs a booth at a trade show, conference or expo uses Scaniam to turn booth visitors into rated leads. You print your own QR code. Attendees scan it with their phone and answer your survey. Each attendee who finishes gets a gift code, and your booth staff hand over the gift. Your sales reps rate each lead Hot, Warm or Cold. After the event, every lead is in one list on the Leads page.
Scaniam is built for exhibitors and sponsors: event marketers, marketing operations teams and sales leaders who run booths. An event organizer can use Scaniam for its own booth or session. Scaniam does not manage the event as a whole.
Each Scaniam account has one workspace, used by one admin sign-in. The workspace holds one brand's events, leads, branding and plan. To keep a second brand or client separate, sign up for a separate account with a different email address. Sales reps, booth staff and volunteers do not need a Scaniam account. How a booth runs on Scaniam
A Scaniam event is one booth appearance. It has its own survey, optional booth game and prizes, stations, QR code and responses. An event runs in seven steps:
- You create an event and build its survey.
- You can add a booth game and prizes. The game is optional.
- You share the event's QR code or short link at your booth.
- An attendee scans the QR code. The survey opens in the phone's web browser.
- The attendee answers the survey. If the event has a booth game, they play it before or after the survey, depending on your setting.
- The attendee's phone shows their gift code and a barcode. Your staff scan the barcode at the booth and hand over the gift. At the Sales Station, the rep also rates the lead.
- You review responses on the event dashboard, work your leads on the Leads page, and export them as a CSV file.
Scaniam booth games include Spin the Wheel, Scratch Card, Flow Free, Quiz / Trivia, Image Quiz, Memory Match and Trick or Treat. See the games. You can also add a registration page so people sign up before the event. At the booth, their code checks them in.
The three booth stations
Scaniam has three booth stations: the Sales Station, the Gift Station and the Host Station. Each station is a web page you open on a phone, tablet or laptop. You open each one from Links & QR on the event dashboard. All three stations are on every plan.

You switch the Sales Station and the Host Station on for each event and add each person with a name and a PIN. The Gift Station works for anyone you give its link to.

What Scaniam is not
- Scaniam is not a badge scanner or lead retrieval app. Scaniam does not scan or read event badges. Its scanners read only Scaniam gift code barcodes.
- Scaniam is not an app attendees install. Attendees use their phone's camera and web browser. There is no exhibitor app in an app store either.
- Scaniam is not event management or ticketing. Scaniam does not sell tickets, print badges, or manage the show's attendee list. A registration page collects sign-ups for your own booth or session, with no payment.
- Scaniam is not a CRM replacement. The Leads page keeps your event leads with ratings, stages, folders, tags and notes. Scaniam does not connect to Salesforce, HubSpot or other CRMs and does not send emails. Scaniam exports leads as a CSV file, which you import into your CRM.
How to set it up
- On scaniam.com, click Start Free and create your account.
- Enter your workspace name and click Continue. Add your logo and brand colors, or click Skip for now, then click Create Workspace. On the next screen, pick what to do first. Your workspace includes a Sample Event.
- Click Events, then Create event. Choose From a template, Duplicate a past event, or Start blank.
- On the event dashboard, click Event Settings, then Edit Survey, to add or change questions.
- Optional: click Event Settings, then Game Setup, to choose a booth game and add prizes.
- Click Go live. The event now accepts responses.
- Click Links & QR, then QR Code, and download the PNG or SVG. Print it for your booth.
- Optional: in Links & QR, open Sales Station and switch on Enable Sales Station, then add each rep with Add Rep. For the Host Station, switch on Enable Host Station and use Add Staff. Send the Gift Station link to your volunteers.

Common questions
What is a lead retrieval app, and is Scaniam one?
A lead retrieval app is the badge-scanning service an event organizer sells to exhibitors. The exhibitor scans an attendee's badge and gets the contact details the attendee gave the organizer. Scaniam is not a lead retrieval app and does not scan badges. Attendees scan your QR code and answer your own survey on their own phone.
What is the difference between lead capture and lead retrieval?
Lead retrieval gives you the badge record the organizer holds. Scaniam's lead capture gives you the attendee's own answers to your questions, plus your rep's Hot, Warm or Cold rating and notes.
How is Scaniam different from collecting business cards?
With Scaniam the attendee types their own details and answers into your survey. Each lead a rep rates arrives in the Leads page with that rep's name and rating, and the same person across your events is one lead. You can export your leads as a CSV file.
Do I need an app to capture leads at a trade show with Scaniam?
No. Scaniam runs in a web browser. Attendees, reps, volunteers and you all use a browser on a phone, tablet or laptop. There is no app to install from an app store.
Can I capture leads without renting a badge scanner?
Yes. Scaniam needs no badge scanner and no hardware. Reps scan the attendee's gift code barcode with the camera of any phone, tablet or laptop, or type the code.
Do I need to buy the show's badge kit or event API to use Scaniam?
No. Scaniam never connects to the organizer's systems. Your QR code works at any event.
What app lets exhibitors scan badges with their own phones?
Scaniam does not scan badges. With Scaniam, attendees scan your QR code with their phone, and your reps scan the barcode of the attendee's gift code.
Do visitors need to install an app?
No. Visitors scan your QR code with their phone camera and the survey opens in the phone's web browser. They do not sign in.
How do you capture leads from a booth game?
In Scaniam the booth game is part of the survey flow. The attendee plays before or after the survey, depending on your setting. The prize and the gift code are saved on that attendee's response, so the game result and the answers arrive on the same lead.
Can I use Scaniam alongside the organizer's badge scanner?
Yes. The two run side by side. Scaniam does not import badge scan files, so the two lists stay separate until you combine them in your own CRM.
Who is Scaniam for, exhibitors, sponsors or event organizers?
Scaniam is built for exhibitors and sponsors who run a booth. An organizer can use Scaniam for its own booth or session, but Scaniam does not manage the whole event's attendees, badges or tickets.
Does Scaniam need any hardware?
No. Any phone, tablet or laptop with a web browser works. A camera helps for scanning codes, and codes can also be typed. You print or display your QR code yourself.
Does Scaniam work on the show floor with poor WiFi?
The attendee needs a connection to open the survey. Once it is open, Scaniam keeps the answers on the phone as they type. If the signal drops, the page says the answers are saved on the phone. If the attendee taps Submit with no signal, Scaniam sends the answers on its own when the connection returns. The gift code appears once the answers reach Scaniam. Scaniam does not work fully offline.
Is Scaniam free?
Yes. Scaniam has a Free plan with no credit card required. Every plan, including Free, has the full toolkit. Plans differ by how many responses you collect each month. See the pricing page for plans and limits.
Can I export my leads from Scaniam?
Yes. You can export an event's responses and your leads as a CSV file on every plan. Locked responses, the ones saved over your monthly response limit, are left out until they are unlocked. Credits unlock any locked response. An upgrade unlocks the ones from the current month.
Which Scaniam features are only on paid plans?
